Role Overview
The IP and Permissions Specialist is responsible for protecting intellectual property and ensuring robust copyright and permissions compliance across a portfolio of learning programmes presented in the UK and internationally. This role manages an IP and assets register, audits course materials, and leads third-party permissions requests to reduce legal and reputational risk. You will also support stakeholders with guidance and help strengthen internal IP policies, procedures, and documentation.
Key Responsibilities
- Develop, maintain, and monitor an IP and assets register for programme materials and related assets
- Audit existing and new course content to confirm ownership, licensing status, and appropriate usage of third-party materials
- Manage permissions requests end to end, including outreach, negotiations where applicable, follow-ups, and documentation with relevant rights holders
- Maintain accurate, well-organised records of permissions, licenses, usage restrictions, and supporting evidence in approved systems
- Track and report on audit progress, permissions request status, and any emerging copyright risks or potential infringements
- Escalate material risks and issues with clear recommendations and supporting rationale
- Provide practical guidance to stakeholders on copyright, permissions, and compliant content sourcing
- Support a culture of IP awareness and compliance through feedback, process improvements, and documentation updates
- Contribute to the development and improvement of IP-related policies, procedures, templates, and reference materials
- Coordinate with relevant internal stakeholders to ensure timely approvals and alignment on permissions and content usage decisions
Requirements
- Bachelor’s Degree or higher, preferably in Intellectual Property Law or a related field
- Demonstrated experience of at least 2 years in a copyright-related role or environment
- Demonstrated experience auditing content or assets for copyright, licensing, or usage compliance
- Demonstrated experience managing permissions requests and engaging with third parties in a professional manner
- Strong critical thinking and analytical skills, with sound judgement in risk-based decision-making
- Proven ability to maintain highly accurate records, manage documentation, and follow structured processes
- Excellent problem-solving skills and the ability to proactively identify and resolve copyright concerns
- Strong organisational skills, including prioritisation and time management, with the ability to meet deadlines
- Proficiency with common productivity tools, including Google Workspace
- Experience in online education content environments is advantageous
- Experience using Click Up or similar work/project management tools is advantageous
