ESSENTIAL DUTIES & RESPONSIBILITIES

Talent Acquisition & Talent Acquisition Support

  • Screen resumes and coordinate interviews for non-management positions.
  • Track and administer applicants in HR Information System (HRIS), including creating requisitions, posting positions, sending Company announcements about job openings and hires, maintaining requisition data, and ensuring data accuracy.
  • Network and proactively source candidates

Onboarding & Offboarding

  • Prepare and collect new hire record information in HRIS from drug screening and background check company
  • Facilitate new hire orientation, including logistics and communications with new hire and management; maintain presentation in collaboration with Communications department
  • Process employee offboarding by accepting resignation, processing personnel action form in HRIS, issuing separation information and other related system and department communications to ensure safety and security compliance and system updates

HR Operations & HRIS

  • Enter, update, and maintain employee data in HRIS
  • Generate and process offer letter and change letters as needed
  • Generate HR or related reports and compliance with documentation, records management, and file audits

Employee Wellness and Relations Support

  • Administer the Company’s wellness program and incentives
  • Serve as first level contact for employee questions and escalate issues appropriately.
  • Support HR leadership with documentation, follow up, and employee communication

Compliance & Reporting

  • Collect data in preparation for audits, reporting requirements, and compliance initiatives
  • Support the maintenance and updates of policies, standard operating procedures, and HR communications; collaborate with the Company’s communication team and coordinate and cascade written communications to executives, quality management and employees

OTHER JOB FUNCTIONS

  • Work in close collaboration with other team members to support the development of new projects and the continuous improvement of the overall work of the team.
  • Promote core values of teamwork, professionalism, effective communication skills and positive behavior.
  • Maintain security and confidentiality of all information in accordance with HIPAA laws and regulations and company policies.
  • Demonstrate compliance with company corporate and departmental policies as evidenced by attendance, punctuality, and appearance.
  • Perform other duties, tasks and responsibilities as assigned

KNOWLEDGE,

SKILLS AND ABILITIES

  • Foundational knowledge of HR principles and employment law and regulations
  • Knowledge, skill and ability to communicate in written and verbal formats with good grammar and attention to detail
  • Knowledge of Microsoft Office, including Excel, Word, PowerPoint and Internet; technical aptitude, including comfort level with using artificial intelligence and willingness to learn new systems and processes
  • Knowledge of time management and work prioritization
  • Ability to work independently, with teams, and with individuals at all levels within an organization from call center to executive in a customer care driven manner
  • Ability to deal with change and adapt
  • Ability to manage multiple priorities
  • Ability to handle and maintain confidential, “need to know” and other sensitive information
  • Ability to be flexible, cope with change, and competing priorities
  • Must be able to travel as needed driving and/or going on airplane to customer locations or meetings

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in HR, business administration, or a related field, with master’s degree a plus
  • 0–3 years of HR experience (internship or practicum experience accepted) in a small company or corporate office; experience working in a service industry like insurance, healthcare, hospitality or related field preferred
  • HRIS experience, with ADP Workforce Now experience preferred
  • HR certification or intent to pursue certification
