Receptionist Supervisor in Dungannon. Our client is a fast-paced, busy manufacturer based in Dungannon. They have an opportunity for an experienced Receptionist to join their front of house team.
Job PurposeAs the main point of contact for front-of-house queries, travel arrangements, and general office support, the postholder ensures a positive experience for visitors, callers, and employees alike. The role also provides day-to-day administrative support across the business, from coordinating travel and keeping accurate cost records to managing office supplies and looking after the company’s vehicle fleet. Keeping clear records, raising purchase orders, and staying on top of insurance and maintenance tasks all help the business stay compliant and cost-effective.
MainDuties
- Manage a professional Reception function
- Act as the primary point of contact for all reception and office coordination matters, ensuring consistency, professionalism, and efficiency at all times.
- Handle a high-volume, multi-line switchboard with confidence and accuracy
- Meeting and greeting all visitors on arrival and supporting hospitality requirements
- Oversee and coordinate all incoming/outgoing post, courier booking etc. across multiple departments
- Schedule meetings and coordinate the booking of meeting rooms
- Coordinate national and international travel arrangements for employees, including flights, hotels, hire cars, and itinerary planning
- Manage monthly stationery and office supplies orders
- Raising purchase orders
- Coordinate and track the company’s lease vehicles
- Keep detailed records of vehicle use, insurance, tax, MOT and service schedules
- Manage a high volume of purchase orders in line with company procedures
- Support senior managers and departments with high-quality administrative tasks, including document preparation, reporting, and internal communications
- A minimum of 3 years’ experience in a similar role
- Proven experience in managing a front-of-house function independently, with minimal supervision
- Minimum of 5 GCSEs (A–C) including Maths and English (or equivalent)
- Strong verbal and written communication skills
- Strong proficiency in Microsoft Office, particularly Outlook, Excel and Teams
- Highly organised, proactive and resourceful
