About the Job
The University of Minnesota Duluth's Office of Admissions invites applications for a P&A 100%, 12-month position serving as the Assistant Director of Admissions, Application Processing. Expected salary range is $57,000–$60,000 annually.
Reporting to the Director of Admissions, the Assistant Director for Application Processing directs, manages, and coordinates the admissions processing team. The team processes over 10,000 applications annually, supervises up to four professional staff, and oversees the admissions workflow to ensure adherence to guidelines and policy. The Assistant Director is part of a collaborative team of Admissions leaders committed to serving prospective students and families and achieving enrollment goals.
ApplicationProcesses (30%)
- Directs, manages, and coordinates the day‑to‑day work of application processing.
- Oversees material intake, application file completion, evaluating applications, and processing workflows.
- Oversees the receipt, check listing, and routing of postsecondary transcripts (including AP, etc.) to appropriate campus partners.
- Directs or enters standardized test scores (ACT/SAT) into Slate (Admissions Customer Relations Management system).
- Assists in the coordination of admissions policy and provides recommendations and changes to admissions policy.
- Follows established guidelines and policies in evaluating and rendering admission decisions on individual applications for admission.
- Makes final admissions decisions as a manager within the Office of Admissions, including Admission and Special Circumstance application files.
- Directs the release of admissions decisions and oversees printing, folding, and sending of letters of admission and denial.
- Oversees change requests, including application appeals, withdrawals, change of major, and letter reprint requests.
- Maintains and updates the Admissions Processing Handbook, documenting admission processes and policy.
- Audits application processes and recommends improvements at local and system levels.
- Ensures timely, accurate entry of data, including admission decisions.
- Participates in business process discussions, testing, and maintenance of complex enterprise information systems to ensure the accuracy of student records and services.
- Oversees daily, weekly, and project‑based data maintenance processes.
- Coordinates reviews with collegiate units as needed.
- Serves as the merchant account manager for application fee and confirmation fee processing, including reconciliation, refunds, disputes, and annual reporting and compliance.
- Responsible for regular Slate Workflow management.
- Consolidates duplicate records with Slate.
- Conducts annual Admissions Review Analysis.
- Makes scholarship awards.
- Coordinates daily, weekly, and project‑based quality control query coordination.
- Directs, manages, and coordinates the day‑to‑day work of application processing.
- Directs the hiring, onboarding, training, and day‑to‑day supervision of professional staff.
- Coaches and counsels staff with performance feedback, daily job task support, and responds to inquiries.
- Ensures employees are in compliance with University and departmental policies.
- Provides employee evaluations.
- Develops, leads, and documents processing meetings.
- Enforces performance expectations.
- Directs and delegates all aspects of the undergraduate international application process.
- Collaborates with campus partners to complete cross‑functional processes.
- Evaluates international undergraduate applicant credentials and renders decisions, consults with the Director of Admissions on final admission decisions as needed.
- Researches international educational systems and institutions to determine credentials and grading practices.
- Updates procedural documentation for Admissions and SEVIS systems and processes.
- Serves as a Designated School Official (DSO).
- Documents business/procedural processes and develops reports and other supporting materials as requested.
