The Scheduling & Production Management Coordinator is responsible for supporting daily production planning, job scheduling, and workflow coordination to ensure customer commitments are met and operations run efficiently. This role works closely with production, customer service, and management to monitor job progress, balance workloads, and communicate priorities across departments including Pre-Press, Wide Format, Digital and Offset Printing, Bindery, Mailing, and Kitting.
Using Print Flow as the scheduling system and Pace as the company’s MIS platform, the coordinator helps maintain accurate schedules, tracks job status, and supports timely job releases. This position plays a central role in keeping production aligned with capacity, priorities, and delivery requirements.
Key ResponsibilitiesThe Scheduling & Production Management Coordinator is responsible for the following:
- Helping maintain ongoing dynamic production schedule in Print Flow
- Monitor job status and workflow using Pace and department feedback
- Coordinate job movement between departments
- Support job prioritization and resource planning
- Identify and communicate potential delays or conflicts
- Assist with balancing workloads and capacity
- Helping maintain accurate production and scheduling records
- Communicate schedule updates to internal teams
- Help manage customer scheduling expectations with Project Managers
- Support continuous improvement and operational efficiency initiatives
- Follow company procedures and quality standards
This role is expected to maintain working knowledge of:
- Print Flow (Scheduling and workflow management)
- Pace (Management Information System)
- Internal production tracking tools and reports
The coordinator is expected to:
- Follow established SOPs and operational procedures
- Support accurate documentation and recordkeeping
- Report process issues, delays, or nonconformances
- Participate in improvement and corrective action activities when required
- Support internal and external audits as requested
