Position Overview

We are seeking a highly organized and detail‑oriented Equipment Specialist to support members (franchise owners) with equipment inquiries and manage non‑stock drop ship orders through phone and email communication. This role is responsible for processing purchase orders (POs), tracking shipments, maintaining accurate documentation and ensuring the timely execution of requests. The ideal candidate is a strong communicator, proactive problem‑solver and collaborative team player who can work independently while supporting cross‑functional teams.

Responsibilities

Order & Member Support

  • Respond to member inquiries related to equipment.
  • Issue, track and expedite drop ship purchase orders, ensuring on‑time delivery.
  • Manage vendor communications and procurement requests.
  • Serve as a liaison between stakeholders to ensure clear and timely communication.
  • Monitor progress against timelines and elevate potential roadblocks to Category or Project Managers.

Documentation & Reporting

  • Maintain organized project files, documentation and status updates.
  • Ensure accuracy and completeness of PO and order records.
  • Support invoice reconciliation by tracking credits, backorders and punch‑list items through project close‑out.

Resolution & Escalation

  • Identify and elevate order‑related issues that may affect timelines.
  • Collaborate with vendors and internal teams to resolve discrepancies and delays.
  • Follow up on outstanding items to drive timely resolution.
Qualifications
  • 1–3 years of experience in project coordination, supply chain, procurement or related field.
  • High School Diploma completed required; bachelor’s degree preferred.
  • Strong organizational and time‑management skills, with the ability to manage multiple priorities.
  • Experience with project timelines, schedules and documentation management.
  • Proficiency with Smartsheet or other project management tools preferred.
  • Excellent written and verbal communication skills to effectively liaise between stakeholders.
  • High attention to detail, with a focus on accuracy in reporting and documentation.
  • Ability to work independently and collaboratively in a fast‑paced environment.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word); experience with procurement or ERP systems a plus.
