Position
: Executive Operations & Accounting Assistant

Amesi & Associates is a women-owned accounting and business consulting firm that supports small businesses, creatives, and entrepreneurs across Southern California. We are seeking a highly organized, detail-oriented Executive Operations & Accounting Assistant to work directly with the Founder & CEO.

This role is ideal for someone with strong administrative instincts
, hands-on bookkeeping experience
, and tax preparation exposure
, who thrives in a fast-paced, client-facing environment. This person will serve as the CEO’s right hand and play a key role in daily operations, accounting support, and client service.

Key Responsibilities

Executive & Administrative Support

  • Manage the CEO’s calendar, inbox, scheduling, and client bookings
  • Serve as a primary point of contact for clients, partners, and internal team members
  • Prepare paperwork and materials for client meetings, programs, and consultations
  • Oversee client case management including onboarding, follow-ups, and document collection
  • Maintain client portals, internal trackers, and workflow systems
  • Assist with internal projects, deadlines, and priority management
  • Handle confidential and sensitive information with discretion
  • Support workshops, events, and community programs (hybrid/on-site as needed)
  • Perform day-to-day bookkeeping tasks for firm and clients
  • Record financial transactions and maintain accurate general ledger entries
  • Complete monthly bank and credit card reconciliations (multiple accounts)
  • Process client invoices, payments, and expense tracking
  • Assist with financial statements, budgets, and internal reports
  • Collaborate with tax professionals on 1099 preparation and year-end reporting
  • Maintain organized financial documentation and compliance records
  • Provide backup accounting support as needed

Tax Preparation & Client Support

  • Assist with preparation of tax returns including:
  • Individual (1040)
  • Corporations (S-Corp, C-Corp)
  • Nonprofits (as applicable)
  • Review financial records to support tax filings
  • Enter tax data into professional tax software
  • Communicate with clients to gather documents and resolve open items
  • Assist with IRS and state notices, penalty abatements, and compliance requests
  • Support tax planning efforts and identify potential deductions or savings
  • Stay current on basic tax regulations and reporting requirements

Qualifications & Skills

Required

  • 2–5 years of experience in administrative, bookkeeping, or accounting support roles
  • Hands-on experience with Quick Books (required)
  • Prior exposure to tax preparation software (Lacerte, Pro Series, Turbo Tax, or similar)
  • Experience supporting individual and business tax filings
  • Strong organizational, time-management, and follow-up skills
  • Excellent written and verbal communication skills
  • Ability to explain financial information clearly to non-financial clients
  • High level of discretion, professionalism, and reliability
  • Must be based in Los Angeles County (in-office/hybrid role)

Preferred

  • Degree in Accounting, Finance, Business, or related field (or equivalent experience)
  • Experience working in a public accounting or consulting firm
  • Comfort juggling multiple clients and deadlines
  • Proactive, solutions-oriented mindset (“see it, own it, fix it”)
