Accountant Accounts Payable & Office Administrative Assistant

We are seeking a highly organized and detail‑oriented Accounts Payable & Office Administrative Assistant to support our growing real estate development and property management company. This position is responsible for managing the accounts payable functions and assisting with day‑to‑day office administration. The ideal candidate should be comfortable working in a fast‑paced, multi‑property environment.

Review and process vendor invoices and employee expense reports accurately and on time.

  • Code invoices to appropriate properties, departments, and GL accounts.
  • Ensure proper approvals are obtained before payment processing.
  • Maintain accurate records of payments and vendor files.
  • Ensure accurate property cost allocations and reporting for multiple properties.
  • Maintain general ledger, prepare and post journal entries.
  • Reconcile vendor statements and resolve billing discrepancies.
  • Credit card reconciliation.
  • Assist in month‑end closing and provide AP‑related reports.
  • Track W-9s, and certificates of insurance for vendors.
  • Communicate regularly with contractors, vendors, and utility.
Qualifications
  • Associate’s degree in Accounting, Business Administration, or related field (Bachelor’s preferred).
  • 3+ years of experience in accounting.
  • Familiarity or ability to learn property management software (e.g., Yardi, App Folio, Quick Books) is preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong attention to detail, time management, and organizational skills.
  • Ability to handle sensitive and confidential information.
  • Excellent communication and interpersonal skills.
