We’re looking for a Client Experience Coordinator to be the welcoming face and steady voice of our firm. This role is perfect for someone who loves people, thrives on organization, and takes pride in creating an exceptional first impression. You’ll own the front-desk experience, support advisors and service teams, and play a key role in the success of our client events and seminars.

What You'll Do Create an Exceptional Client Experience
  • Serve as the first point of contact for clients and prospects—greeting visitors, answering calls, and creating a calm, professional environment.
  • Manage the lobby and front office experience, ensuring clients feel welcomed, informed, and cared for.
  • Support appointments by preparing materials, confirming details, and helping meetings run smoothly.
  • Monitor shared inboxes and voicemails, routing messages accurately and promptly.
Support Client Service & Operations
  • Assist with basic service and administrative tasks, including preparing files, uploading documents to our CRM, and managing incoming forms and mail.
  • Help maintain accurate client records and coordinate with service and new business teams to keep clients informed on next steps.
Assist with Marketing & Events
  • Support client seminars and events by confirming attendance, making reminder calls, and following up with no-shows.
  • Register callers for events and schedule appointments for inbound leads.
  • Help prepare event materials, client packets, and follow-up resources.
Office & Team Support
  • Keep the front office organized, stocked, and running smoothly.
  • Assist leadership and internal teams with occasional administrative projects.
  • Consistently reflect The Life Group’s values and commitment to a high-standard client experience.
What We're Looking For

  • Calm under pressure and able to manage multiple priorities
  • Service-oriented, proactive, and solution-focused
  • Comfortable guiding conversations and assisting clients confidently
  • A collaborative team player who enjoys supporting others
  • Tech-savvy and able to learn tools like Google Workspace and Redtail CRM
Experience & Requirements
  • Previous experience in customer service, hospitality, front desk, or administrative roles preferred
  • Strong communication and phone presence
  • Ability to work on-site at our Dubuque office (client-facing role)
  • Alignment with The Life Group’s culture and values
  • Interest in financial services and long-term professional growth is a plus (but not required)
