This position is located in Dublin, CA.
Role OverviewAs a Trade Show & Events Specialist, you will work with an astonishing team that plays a vital role in ZEISS Surgical Microscope Events and Trade Shows.
Main responsibilities include planning and coordinating logistical operations of complex trade shows, events, seminars, and meetings; maintaining and managing budgets up to $1.5M per event; researching and communicating trade show information to marketing and field sales; providing on‑site supervision of conventions and meetings; ordering booth services, tracking booth properties, developing instrument and booth floor plans, requesting convention instrumentation and hotel reservations;
assisting Product Managers and Marketing Communications Management with new product launches and PR in conjunction with trade show marketing; coordinating and leading related planning meetings; creating annual budget plans for trade show activities and ROI analysis; responsible for monthly budget reports that include the accruals and allocation of expenses; tracking and measuring the effectiveness of the trade show program through managing the evaluation form process.
You'll Do
- Process paperwork to accept or decline attendance at trade shows and seminars.
- Produce and distribute timely monthly memos and convention calendar updates to field sales and marketing.
- Be responsible for site selections and planning for special events and sales meetings.
- Coordinate logistics and negotiate rates with selected vendors.
- Approve, coordinate and process all equipment forecasts and orders to support the trade show program.
- Travel and provide on‑site support.
- Track annual expenses and create proposed budgets, monthly accrual reports and file invoices.
- Track and analyze trade show evaluation forms to measure effectiveness.
- Design new booth property and displays, as needed; manage booth property, exhibit house and requested services.
- Assist in developing promotions and graphics for exhibitions and events.
- Assist the marketing group with new product launches.
- Update and maintain the trade show calendar.
- Four‑year college degree required.
- Minimum of two years experience in complex national trade show and event coordination.
- Minimum three years experience in marketing.
- Excellent written, verbal and organizational skills.
- Ability to analyze the entire planning process and execute preventative measures to insure requirements are achieved.
- Must be able to travel a minimum of six times a year for a week or more at a time.
- Must be able to prioritize and handle a variety of projects simultaneously.
- Medical trade show experience preferred.
- Proficient with MS Office (Excel, Word, PowerPoint); desktop publishing a plus.
- Must be able to work independently and take initiative in problem solving and decision‑making.
- Must possess excellent interpersonal skills and be a team player.
The hourly pay range for this position is $35.00 - $43.00.

The pay offered for this role may be influenced by factors such as job location, scope of role, qualifications, education, experience, and complexity/specialization/scarcity of talent.
This position is eligible for a Performance Bonus.
