The Operations Specialist supports the flow of supply chain and logistics activities by coordinating the movement of goods, managing inventory, and overseeing transportation needs. This role ensures compliance with customs and trade regulations, maintains accurate documentation, and monitors vendor performance to achieve timely and cost-effective deliveries. The position works closely with suppliers, carriers, and internal teams to ensure expectations are consistently met.

Responsibilities
  • Supply Chain Coordination:
    Coordinate and manage the movement of goods, materials, and products throughout the supply chain, ensuring timely delivery and efficient operations. Collaborate with suppliers, manufacturers, distributors, and transportation providers to optimize logistics processes.
  • Transportation Management:
    Arrange and coordinate transportation activities, including selecting carriers, negotiating freight rates, scheduling shipments, and tracking deliveries. Ensure that goods are transported in the most cost-effective and timely manner while considering factors such as mode of transportation, shipping routes, and delivery requirements.
  • Inventory Control:
    Monitor and manage inventory levels to ensure adequate stock levels are maintained to meet customer demands while minimizing carrying costs. Use inventory management systems and tools to track inventory, conduct regular stock checks, and optimize inventory replenishment processes.
  • Documentation and Recordkeeping:
    Prepare and maintain accurate documentation related to logistics activities, such as shipping manifests, bills of lading, customs documents, and delivery receipts. Ensure compliance with relevant regulations and maintain organized records for auditing and reference purposes.
  • Customs and Compliance:
    Ensure compliance with customs regulations and international trade requirements. Prepare and submit necessary customs documentation, such as import/export declarations and customs clearance forms. Stay updated on customs regulations and trade compliance laws to facilitate smooth cross-border shipments.
  • Vendor Management:
    Collaborate with suppliers, vendors, and contractors to ensure timely delivery of goods and services. Monitor vendor performance, negotiate contracts and pricing terms, and resolve any issues or disputes that may arise in the vendor relationship.
  • Risk Management:

    Identify potential risks and develop contingency plans to mitigate disruptions to the supply chain. Anticipate and manage potential issues such as delays, damages, or inventory shortages, and take proactive measures to minimize their impact.
  • Data Analysis and Reporting:
    Collect and analyze logistics data, including transportation costs, delivery times, and inventory levels. Generate reports and provide insights to management on key performance indicators (KPIs), identify trends, and recommend improvements to enhance operational efficiency and cost-effectiveness.
  • Continuous Improvement:
    Identify opportunities for process improvements within the logistics function, such as optimizing transportation routes, improving warehouse layouts, or streamlining inventory management processes. Implement changes and monitor their effectiveness to achieve operational excellence.
  • Customer Service:
    Collaborate with internal departments and external stakeholders, including customers and suppliers, to address inquiries, resolve issues, and provide excellent customer service. Ensure that customer expectations regarding delivery schedules, order accuracy, and overall logistics performance are met or exceeded.
Position Requirements
  • Bachelor’s Degree in supply chain or related field.
  • Fluency in English and Russian language.
  • Minimum 2-3 years of experience in export documentation and logistics.
  • Ability to meet changing priorities in a fast-paced environment with the ability to multitask and meet deadlines.
  • Ability to interact with all levels of the organization internal and external in a professional and objective manner.
  • Strong sense of initiative, self-starter, and able to work well independently and as part of a team.
  • Excellent communication and interpersonal skills. Must be a team player and able to work efficiently in a dynamic fast-paced work environment.
  • Excellent analytical and problem-solving skills while maintaining high-quality customer-service orientation.
  • Strong organizational skills with attention to detail, including balancing multiple priorities.
