Howden Middle East, based in Dubai, United Arab Emirates (UAE) is currently looking for an experienced Logistics Coordinator to manage day-to-day logistics functions, liaising with approved vendors and logistics service providers.

This role will be responsible for receiving and reviewing quotes, negotiating of price, lead-time, shipping & payment conditions through project execution and support customer, proposals, sales, service and other business units.

What Will You Do?
  • Completion of the vendor approval process and maintenance of the approved vendor list.
  • Review of order confirmation from Howden & Non-Howden suppliers, issue order confirmation to customers, monitor readiness of material with suppliers, receive shipping documents, preparation of shipping documents in line with customer order, shipping conditions (Incoterms 2020), issue draft shipping documents to customer, obtain approval, communicate with Suppliers, Customers & nominated forwarders to arrange collection of cargo on a timely manner.
  • Preparation of documents related to import/export (inbound & outbound) shipments (Invoice, delivery/packing note, customs delivery advice, issue instructions for Airway Bill, Bill of Lading, Certificate of Origin from Chamber of Commerce, attestation of documents from Chamber of Commerce, consulate/embassy, etc.
  • Reconcile supplier invoices and coordinate with Finance to complete invoicing against customer/sales orders.
  • Plan and coordinate with suppliers to ensure ‘On Time Delivery’. Review, plan, and schedule monthly sales forecasts and order execution, review OTD, and apply measures to improve OTD.
  • Preparation of draft documents for Documentary Credit/Letter of Credit (UCP
    600), CAD (URC 522), review of LC SWIFT, preparation of LC/CAD related documents, presentation of documents with the bank, communication with applicant and bank, handling LC discrepancy notification.
  • Coordinate with Aftermarket (AFM) proposal, sales & service team, as well as other business units.
  • Coordinate with customer/agent/end user for post order concerns such as expediting order execution, material discrepancy, warranty issues, etc.
  • Ensure adherence to company environmental, health, and safety standards in compliance with company policies to ensure a safe working environment and the minimization of environmental impact.
Your Experience Should Be...
  • A strong commercial mindset and experience within the entire Supply Chain functions.
  • Degree in a relevant field, advanced MS Excel, Word, PowerPoint, and ERP.
  • Hands-on experience in the day-to-day functions of post sales, procurement, and logistics processes.
  • Proactive hands-on attitude combined with a customer-oriented mindset and a sense of responsibility.
  • Ability to organize, prioritize, and manage multiple tasks simultaneously.
  • Ability to negotiate with logistics service providers.
  • Excellent problem solving ability.
  • Proven experience in handling multiple activities such as procurement, logistics, and internal sales functions.
  • Market & customer knowledge in the GCC-MENA region in terms of customs/logistics procedure.
  • Good communication skills at all levels, written and verbal.
  • Ability to work under pressure and to meet tight deadlines.
