Executive Tenant Relations– Retail Holding Asset Management
About the Job:
An opportunity has arisen for an Executive Tenant Relations – Retail – Dubai Holding Asset Management to join Dubai Holding Asset Management. The main duties and responsibilities of this role:
- Maintain accurate and up-to-date tenant data and records.
- Build and manage strong professional relationships with retail tenants.
- Address tenant complaints, issues, and operational challenges promptly.
- Ensure tenant compliance with Dubai Municipality regulations and DHAM lease policies (housekeeping, cleanliness, safety, security, HSE, fire safety, etc.).
- Conduct regular inspections to ensure stores are operational, well-maintained, merchandised, and safe.
- Escalate maintenance and safety issues to operations teams and service providers for timely resolution.
- Conduct tenant orientation and regular tenant meetings covering emergency procedures, communication systems, and operational updates.
- Draft tenant communications including letters, rent concession cases, early termination notices, and internal memos.
- Ensure lease documentation and compliance records are complete, updated, and properly filed.
- Collect and monitor tenant data such as monthly sales, footfall, permits, and compliance documents.
- Support preparation of special case reports (e.g., rent discount requests) for management review.
- Coordinate with technical teams to ensure tenant fit‑out and modification requirements are implemented as approved.
- Liaise with community management for tenant‑related common area issues.
- Support marketing teams in the setup and execution of events and promotional activities.
- Coordinate with finance on tenant billing, reconciliations, and payment queries.
- Prepare and issue tenant correspondence in line with DHAM guidelines.
- Maintain organized databases of leases, trade licenses, insurances, Ejari, and tenant IDs.
- Ensure timely renewal of all licenses and permits.
- Track and manage all tenant communications and correspondence.
- Ensure records are audit‑ready for internal, external, and government authorities.
- Follow up with tenants on timely rental payments in coordination with collections teams.
- Support resolution of payment disputes and prepare case details when required.
- Process tenant requests, statutory notices, alterations, and violations in line with regulatory requirements.
- Coordinate with internal departments (e.g., DTS) for tenant variation requests.
- Conduct inspections and report lease, safety or health violations.
- Process non‑technical tenant requests and coordinate issuance of Tenant Work Permits (NOCs) within agreed timelines.
- Facilitate retailer‑led marketing initiatives within leased and common areas.
- Encourage tenant participation in seasonal and special event campaigns.
- Support analysis of retailer and category performance for business improvement opportunities.
- Assist leasing teams with tenant mix optimization and replacement of underperforming brands.
- Conduct data entry and analysis using systems such as Yardi, POS, Footfall, and RAFs.
- Support preparation of retail asset management reports (footfall, turnover, rental forecasts, etc.).
- Bachelor’s degree in Business Administration, Management, or a related field (preferred).
- 2–4 years of experience in retail, real estate, mall operations, tenant relations, or customer experience.
- Strong communication skills in English;
Arabic is a plus. - Strong stakeholder management, influencing, and relationship‑building skills.
