Job Summary:
The Operations/ Administration Manager – Real Estate will be responsible for overseeing end-to-end property operations, including leasing management, facilities maintenance, and procurement functions. The role requires strong knowledge of UAE real estate regulations, operational best practices, and asset optimization strategies. The ideal candidate will ensure operational efficiency, cost control, tenant satisfaction, and compliance with Dubai regulatory authorities.
Key Responsibilities:- 1. Leasing Operations Management
- Oversee residential, commercial, and retail leasing operations.
- Develop and implement leasing strategies to maximize occupancy and rental yield.
- Monitor lease renewals, tenant retention, and arrears management.
- Ensure compliance with RERA regulations and Dubai tenancy laws.
- Coordinate with legal teams on lease documentation and dispute resolution.
- Analyze market trends and competitor pricing strategies.
- 2. Facilities & Maintenance Management
- Oversee preventive and corrective maintenance programs.
- Ensure MEP systems, civil works, and infrastructure are maintained to high standards.
- Manage facility management (FM) service providers and contractors.
- Implement asset lifecycle planning and capital expenditure forecasting.
- Ensure compliance with Dubai Municipality, Civil Defense, and health & safety standards.
- Monitor SLA performance and KPIs for service providers.
- 3. Procurement & Vendor Management
- Develop procurement strategies aligned with company policies.
- Manage tendering processes, vendor selection, and contract negotiations.
- Ensure cost efficiency while maintaining quality standards.
- Maintain approved vendor lists and conduct performance evaluations.
- Oversee contract administration and renewal processes.
- 4. Financial & Budget Control
- Prepare and manage operational budgets.
- Monitor expenses and implement cost control measures.
- Conduct financial analysis related to leasing revenue and operational expenditure.
- Support asset valuation and performance reporting.
- 5. Compliance & Risk Management
- Ensure adherence to UAE real estate regulations and corporate governance.
- Identify operational risks and implement mitigation strategies.
- Maintain insurance compliance and risk documentation.
- 6. Team Leadership
- Lead and mentor leasing, FM, and procurement teams.
- Establish KPIs and performance monitoring systems.
- Promote a culture of accountability, service excellence, and continuous improvement.
- Strong knowledge of the UAE real estate market and RERA regulations
- Expertise in leasing, facilities management, and procurement operations
- Strong financial acumen and budgeting skills
- Contract negotiation and vendor management expertise
- Leadership and stakeholder management skills
- Excellent communication and reporting abilities
- Proficiency in ERP/property management systems
Certifications:
- RERA Certification (Dubai)
- PMP (Project Management Professional)
- IFMA / FM certifications
- NEBOSH or relevant HSE certification
- Occupancy rate and leasing cycle time
- Tenant retention ratio
- Maintenance response and resolution time
- Budget variance control
- Vendor performance scorecards
- Compliance audit results
Required:
Minimum 10+ years of UAE experience
Education:- Bachelor’s Degree in Engineering (Civil / Mechanical / Electrical or related discipline)
- Master’s Degree in Business Administration (MBA) or equivalent preferred
