This AMC excludes all major components and sub‑assemblies such as compressors, condensers, coils, heat exchangers, pumps, motors, and control boards. Any such replacement or overhaul shall be quoted separately, subject to HOAM’s written approval and budget clearance.
The vendor acknowledges that no variation, escalation, or hidden charge shall be claimed during the contract period unless formally approved in writing by HOAM.
Service Frequency- Major Preventive Maintenance: 1 visit per year – Full operational test, refrigerant & oil analysis, calibration.
- Minor Preventive Maintenance: 3 visits per year – Routine inspections, cleaning, electrical checks.
- Coil Cleaning: 4 times per year – Condenser & evaporator coil cleaning using approved chemicals.
- Breakdown Calls: Unlimited 24/7 response as per KPIs.
- P1 – Emergency Chiller shutdown / water leakage / safety risk – ≤ 2 Hours.
- P2 – Urgent cooling failure or risk of asset damage – ≤ 3 Hours.
- P3 – Expedited non‑critical fault – ≤ 8 Hours.
- P4 – Scheduled routine / planned visit – As scheduled by HOAM.
- Check and record suction/discharge pressures, voltages, amperes, and oil condition.
- Verify refrigerant charge and perform leak testing.
- Clean condenser & evaporator coils chemically and wash.
- Inspect pistons, valve plates, gaskets, and bearings for abnormal operation.
- Inspect safety controls, HP/LP switches, and thermostats.
- Test all electrical and control components, tighten terminals.
- Submit full performance report, deficiency list, and recommendations.
- Visual inspection for refrigerant or oil leaks.
- Clean air filters, strainers, and panels.
- Lubricate moving parts and fan bearings.
- Check thermostat calibration and sensor accuracy.
- Submit detailed minor‑service checklist with findings.
- Attend all reported breakdowns 24/7 within KPI timelines.
- Diagnose faults and perform minor rectification within AMC scope.
- Maintain a preventive maintenance log, asset performance sheet, and call‑out register accessible to HOAM.
- Quarterly summary reports to be submitted with PPM records, photos, and KPI performance.
- All records, checklists, and data become exclusive property of the Owners Association.
- HOAM may appoint an independent Property Observer for verification prior to invoice approval; vendor to provide full cooperation.
- Contractor must hold a valid HVAC Maintenance Trade License and adequate public‑liability/workmen’s compensation insurance.
- All personnel shall carry Emirates valid EHS cards.
- Strict compliance with HOAM Permit‑to‑Work, Lock‑Out/Tag‑Out, and Confined‑Space policies is mandatory.
- All refrigerant/oil disposal to follow Dubai Municipality and MOCAA e‑environmental regulations.
- Non‑compliance may result in immediate contract suspension without compensation.
NOTE TO VENDORS: As per the rules, all vendors supplying services in the Emirate of Dubai must have a trade license issued by the relevant authority in the Emirate of Dubai. Before you apply for any job in the Emirate of Dubai, please make sure to comply with regulatory requirements. Failure to do so can result in stoppage of funds through the Escrow Account.
