HR Onboarding Specialist

The HR Onboarding Lead is responsible for designing, managing, and continuously improving the end-to-end employee onboarding experience. This role ensures that new hires are effectively integrated into the organisation from offer acceptance through successful completion of probation, with a strong focus on compliance, stakeholder coordination, employee experience, and process efficiency.
The role does not include recruitment responsibilities.
Key Responsibilities Onboarding & Employee Experience- Own and manage the full onboarding lifecycle from offer acceptance to confirmation of employment.
- Ensure a consistent, high-quality onboarding experience across all business units and locations.
- Act as the primary point of contact for new joiners during the onboarding period.
- Proactively address onboarding issues, escalations, and employee queries.
- Coordinate employment documentation, contracts, and onboarding paperwork in line with company policy and local labour law.
- Partner with PRO/visa teams (where applicable) to ensure timely processing of work permits, visas, and medicals.
- Ensure all employee data is accurately captured and maintained in the HRIS.
- Monitor completion of mandatory compliance, policy acknowledgements, and induction requirements.
- Liaise with hiring managers, HR Business Partners, IT, Facilities, Payroll, and Learning & Development to ensure onboarding readiness.
- Ensure system access, equipment, and workspace are prepared ahead of the employee’s start date.
- Provide clear onboarding guidance and timelines to internal stakeholders.
- Review and continuously improve onboarding processes, templates, and workflows.
- Identify automation and digitalisation opportunities to improve efficiency and employee experience.
- Track onboarding metrics such as time-to-productivity, onboarding completion, and early attrition.
- Prepare onboarding reports and insights for HR leadership.
- Coordinate corporate inductions, orientation sessions, and onboarding programmes.
- Ensure probation milestones and check-ins are completed in line with company policy.
- Support managers with probation confirmations and documentation.
- 5+ years of experience in HR Operations, Onboarding, or Employee Lifecycle roles.
- Strong knowledge of HR processes, employment documentation, and compliance requirements.
- Proven experience managing end-to-end onboarding at scale.
- Experience in a regional or multi-entity environment.
- Familiarity with UAE labour law and visa processes (if applicable).
- Experience leading onboarding transformation or system implementation projects.
