Overview
Astro Offshore is seeking an experienced professional to manage monthly crew payroll, crew invoices, and day-to-day crewing workflows within our marine operations. This role involves processing payroll in line with SEAs and company policies, coordinating with Finance and manning agents, handling payroll queries, and ensuring compliance with MLC 2006, STCW, and Flag State regulations.
The ideal candidate will have at least 2+ years of experience in crew payroll and crewing within the marine industry, strong attention to detail, and the ability to work effectively under pressure in a fast-paced environment.
Responsibilities- Prepare and process monthly crew payroll in accordance with SEAs and company policies, while ensuring accurate application of rates and allowances, correct sign-on/sign-off and final settlement calculations, and alignment with budget forecasts and project cost controls.
- Prepare payroll reports for the Crewing Manager and Head of Department, supporting crew cost forecasting and variance analysis.
- Coordinate with Finance, Crewing, manning agents, and vessel management, and handle the resolution of crew payroll queries and disputes.
- Ensure timely processing of crew invoices by managing invoice records and supporting various crewing invoice–related tasks using accounting software. Maintain accurate crew data in payroll and crewing systems to support audits, reconciliations, and continuous process improvements.
- Manage day-to-day crewing workflows, ensure all departmental requirements are met consistently and efficiently.
- Act as a primary liaison between Crewing, Accounts, and suppliers and maintain strong professional relationships.
Perform ad-hoc duties, including:
- Arrange crew cash advance requests, from PO preparation and cash collection to final cash delivery.
- Complete all required internal POs for crew-related invoices.
- Coordinate with the Accounts Department and crewing suppliers to resolve any invoice-related issues.
- Written & Spoken English, proficient in MS Office.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work effectively in a team and manage multiple tasks
- 2+ years of experience in handling crew invoices and crew payroll.
- 2+ years of crewing experience.
- Strong knowledge of MLC 2006, crew competency requirements, STCW, Flag State regulations, and other vessel crewing matters.
Bachelor’s degree in business administration, Maritime Studies, or Any related field.
