The Procurement sourcing Administrator is responsible for supporting the sourcing and procurement process by ensuring the effective management of tender documentation, supplier coordination, and system accuracy within the Coupa platform. The role safeguards compliance, maintains catalogue integrity, and enables smooth interactions between internal stakeholders and suppliers to support efficient and transparent procurement operations.

Role Profile
  • Manage end-to-end tender documentation in Coupa, ensuring accuracy, completeness, and compliance with internal procurement policies and regulatory requirements while monitoring submission timelines and milestones.
  • Conduct initial compliance reviews of supplier submissions, verifying mandatory documentation, certifications, and eligibility criteria, while maintaining secure and audit-ready records of all tender activities.
  • Act as the main coordination point between suppliers, procurement, category managers, and internal stakeholders, facilitating sourcing events, clarifications, and timely approvals throughout the tender cycle.
  • Support suppliers with Coupa system activities, including tender participation, document uploads, catalogue updates, and resolving system access or technical issues.
  • Maintain and update sourcing records, reports, and documentation, including RFP/RFQ logs, evaluation results, supplier participation, and contract lifecycle tracking while identifying and escalating delays or system issues.
  • Manage supplier catalogues in Coupa, ensuring accurate product data, pricing updates, and compliance with contractual terms, while supporting governance, procurement policies, audits, and continuous process improvement.
Requirements
  • Bachelor’s degree in Business Administration, Supply Chain, Finance, Information Systems, or a related field (or equivalent practical experience).
  • 0–2 years of experience in procurement, supply chain, finance operations, or system administration (internships or trainee experience acceptable).
  • Basic understanding of procurement processes and supplier management.
  • Familiarity with ERP or procurement systems (Coupa exposure is a plus but not mandatory).
  • Proficiency in Microsoft Excel and basic data handling.
  • Strong communication, coordination, and organizational skills suitable for an entry-level operations role.
