Staff Manager to CEO

We are looking for a highly organized, resourceful, and proactive Staff Manager to the CEO to serve as a strategic operational partner. This role is a unique hybrid: you will manage the CEO’s executive operations while providing structured PMO support to the Chief Strategy Officer.
The ideal candidate is a 'force multiplier' — someone who thrives in fast-paced, high-growth environments and can seamlessly pivot from managing complex calendars to tracking technical project dependencies.
Key Responsibilities1. CEO Executive Operations
- Calendar & Priority Management: Orchestrate the CEO’s schedule, ensuring time is aligned with the company’s highest priorities.
- Communication Flow: Manage email triage, draft briefing notes, and handle internal/external correspondence.
- Briefing & Research: Conduct light research and compile summaries, dashboards, or updates to prepare the CEO for key engagements.
- Operational Extension: Coordinate travel and logistics, manage expenses, and ensure the CEO’s workflow is friction‑free.
- Linguistic Support: Act as a bridge for communication, providing translation and support in Ukrainian/Russian and English as required.
2. PMO & Project Coordination (Reporting to CSO)
- Project Governance: Support the PMO in maintaining project plans, timelines, and delivery trackers.
- Risk Management: Maintain RAID logs (Risks, Assumptions, Issues, Dependencies) to ensure project health.
- Reporting: Prepare weekly/monthly PMO dashboards, KPI summaries, and leadership reports.
- Cadence Management: Coordinate standups, sprint reviews, and steering committee meetings.
- Accountability: Track action items across squads, ensuring deadlines are met and escalating blockers to leadership proactively.
Required:
- Multilingual Mastery: Absolute fluency in English, Ukrainian OR Russian
. - Operational Excellence: Proven experience in project coordination and high‑level executive support.
- Tech‑Savvy: High proficiency in Google Workspace, Notion, Slack, and PM tools (Asana, Jira, or Trello).
- High EQ: The ability to navigate cross‑functional teams (Product, Engineering, Operations) with professionalism and discretion.
- Detail‑Oriented: A 'zero‑mistake' mindset regarding documentation and confidentiality.
Preferred:
- Experience in Tech, Fintech, or Startup environments.
- Experience supporting a Founder or C‑level executive
. - Background in PMO, Business Ops, or Product Ops
. - Regulatory Knowledge: Understanding of payments regulation (SEPA/SWIFT, card schemes), digital asset laws, and licensing procedures in key jurisdictions.
