General Description
The Procurement Coordinator, is responsible for supporting the procurement process by coordinating procurement activities for ACTION International Services while maintaining strong supplier relationship. This role requires Experience and purpose driven specialist that will be first point of contact between the internal stake holders and suppliers. Should have ability to understand the business needs and offer solution. This role involves preparing purchase orders, tracking deliveries, managing procurement documentations and ensuring compliances with company policies and quality standards.
This role requires great problem solving, customer service and satisfaction.
- Lead end to end ACTION International Services procurement processes with best practice including RFQ, Bid evaluations, PO issuance and contract management
- Drive cost savings initiative and continuously improve efforts by reviewing spends across ACTION International Services and develops cost savings techniques for implementation.
- Research potential suppliers and qualify suppliers ensuring alignment with technical specifications and compliance standards
- Collaborate with internal stakeholders and project managers for early engagement and optimizing sourcing strategies
- Ability to assess suppliers’ proposals/quotations, analyze offers and prepare techno-commercial evaluations with strong negotiation tactics
- Negotiates contract terms agreement and supports contract administrations including discount structures and rebates to ensure compliance with company policies and regulatory standards.
- Ensure Purchase orders are released on time and maintain accurate procurement records and supplier databases.
- Track orders status, manage delivery schedules to optimize value and mitigate risk on delivery and quality issues with suppliers
- Ensures on-time deliveries, follow-ups for any delays and develop contingency plans.
- Support internal and external audit ensuring adherence to procurement policies and procedures
- Good computer proficiency and ability to deliver reports.
- Ability to work independently and complete tasks on time.
- Understanding of basic shipping regulations
- Keen attention to Supplier relationship management and quarterly review of their performance
- Hands-on experience of procurement software such as ORACLE, SAP, etc.
- Minimum 3 years’ experience with construction background as Procurement Coordinator
- Bachelor in Supply Chain Management | Engineering| Business Management or any related field
- Master in Business Administration and/or CIPS is a plus
- Fluent in English. Arabic and/or Hindi is a plus
- Good computer proficiency and ability to deliver reports.
- Good ability to work within a team to achieve results.
- Ability to work under pressure, work flexible hours to meet deadlines.
- Ability to work independently and complete tasks on time.
