- The Document Controller is responsible for managing, organizing, and maintaining company documents while ensuring accuracy, quality, and integrity of documentation. The role involves controlling document flow, ensuring proper distribution, and maintaining records in accordance with company procedures and project requirements.
- Maintain and manage all project and company documents in both physical and electronic formats.
- Ensure documents are properly categorized, filed, and easily retrievable.
- Control document versioning, numbering, and revision tracking.
- Distribute documents to internal teams and external stakeholders as required.
- Maintain document control registers, logs, and tracking systems.
- Ensure compliance with company standards, procedures, and document control policies.
- Coordinate with project managers, engineers, and other departments to ensure timely document submission.
- Review documents for accuracy, completeness, and formatting standards before filing.
- Manage confidential and sensitive documents securely.
- Support audits by providing required documentation and records.
- Archive completed project documentation according to company retention policies.
- Bachelor’s degree or diploma in Business Administration, Information Management, or a related field (preferred).
- 2–5 years experience in document control, preferably in construction, engineering, or project environments.
- Familiarity with document management systems (DMS).
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with document management software such as Aconex, SharePoint, or EDMS.
