Job Summary

We are looking for a proactive and highly organized Executive Assistant cum Office Manager to support the Promoter and manage end-to-end office administration for our Dubai operations. The role requires handling executive support, office setup and administration, coordination with vendors, and ensuring smooth day-to-day functioning of the office, especially in the Promoters absence.

Key Responsibilities

Executive Assistance

  • Act as the primary point of contact for the Promoter in Dubai.
  • Manage calendars, meetings, travel arrangements, and follow-ups.
  • Handle confidential communication, emails, and documentation.
  • Coordinate with internal teams and external stakeholders on behalf of the Promoter.

Office & Administration Management

  • Oversee day-to-day office operations and administrative functions.
  • Manage office setup, vendors, service providers, and facilities.
  • Handle procurement of office supplies and assets.
  • Ensure compliance with local administrative and documentation requirements.
  • Coordinate with consultants for visas, licenses, renewals, and other regulatory needs.

Coordination & Support

  • Liaise with banks, consultants, landlords, and government offices as required.
  • Support visiting leadership or teams from India.
  • Maintain records, MIS, and reports related to office administration.
  • Ensure smooth operations during periods when the Promoter is traveling or unavailable.

Desired Candidate Profile

  • 510 years of experience as an Executive Assistant, Office Manager, or similar role.
  • Prior experience working with senior leadership / promoters is essential.
  • Strong knowledge of office administration and vendor management.
  • Excellent communication skills (English mandatory; Hindi an advantage).
  • High level of discretion, ownership, and problem-solving ability.
  • Well-organized, presentable, and comfortable working in a startup / expansion environment.
