Job Summary
We are looking for a proactive and highly organized Executive Assistant cum Office Manager to support the Promoter and manage end-to-end office administration for our Dubai operations. The role requires handling executive support, office setup and administration, coordination with vendors, and ensuring smooth day-to-day functioning of the office, especially in the Promoters absence.
Key Responsibilities
Executive Assistance
- Act as the primary point of contact for the Promoter in Dubai.
- Manage calendars, meetings, travel arrangements, and follow-ups.
- Handle confidential communication, emails, and documentation.
- Coordinate with internal teams and external stakeholders on behalf of the Promoter.
Office & Administration Management
- Oversee day-to-day office operations and administrative functions.
- Manage office setup, vendors, service providers, and facilities.
- Handle procurement of office supplies and assets.
- Ensure compliance with local administrative and documentation requirements.
- Coordinate with consultants for visas, licenses, renewals, and other regulatory needs.
Coordination & Support
- Liaise with banks, consultants, landlords, and government offices as required.
- Support visiting leadership or teams from India.
- Maintain records, MIS, and reports related to office administration.
- Ensure smooth operations during periods when the Promoter is traveling or unavailable.
Desired Candidate Profile
- 510 years of experience as an Executive Assistant, Office Manager, or similar role.
- Prior experience working with senior leadership / promoters is essential.
- Strong knowledge of office administration and vendor management.
- Excellent communication skills (English mandatory; Hindi an advantage).
- High level of discretion, ownership, and problem-solving ability.
- Well-organized, presentable, and comfortable working in a startup / expansion environment.
