As our Dubai office grows, we are seeking a professional and experienced Office Manager / HR Administrator to ensure seamless daily operations while providing effective HR and administrative support.
As the Office Manager & HR Administrator you will support office management, HR administration and UAE employment support. The successful candidate will be highly organised, proactive, and confident managing communication across departments. You will ensure the office operates efficiently, employees are supported, and visa and administrative processes are completed accurately.
Key Responsibilities Office Coordination- Oversee daily office operations, maintaining a professional and organised environment
- Liaise with service providers, including telecoms, maintenance, utilities, and cleaning companies
- Monitor office supplies and arrange replenishment when required
- Coordinate meeting rooms, schedules, and internal arrangements
- Provide administrative assistance to senior management as needed
- Handle incoming / outbound calls and direct enquiries professionally
- Manage office email correspondence and internal communications
- Coordinate diaries, meetings, and departmental updates,
- Communicate confidently in English, both verbally and in writing, across all departments
- Provide structured and timely updates to management
- Coordinate onboarding and offboarding processes
- Prepare and maintain employment documentation and employee records
- Organise first-day arrangements and inductions for new joiners
- Ensure IT equipment and system access are ready prior to start dates
- Handle all employee information with discretion and confidentiality
- Support UAE visa applications for new employees and leavers from start to finish
- Liaise with external PRO services and relevant authorities
- Track application progress and provide updates to management
- Ensure documentation is submitted accurately and on time
- Maintain compliance with UAE Labour Law and MOHRE regulations
- Proven experience in office administration, HR, and UAE visa/PRO coordination
- understanding & knowledge of UAE employment procedures and administrative requirements
- Confident and professional communicator in English (verbal and written)
- Highly organised, structured, and detail-oriented
- Proactive, dependable, and able to work independently
- Professional, approachable, and reliable
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
To apply for this position, candidates must meet the following criteria:
- Minimum of 3 years’ experience in office administration, HR, and UAE visa/PRO coordination
- Full proficiency in English in all communication channels (verbal, written, email)
- Ability to work UK-aligned hours (Monday – Friday, 12:30pm – 8:30pm) Non-negotiable

Compensation & Benefits- Salary: up to 10,000 AED per month
