Role Overview:
The Leasing Admin – ARM is the operational backbone of Keyper’s leasing team. This role exists to keep listings accurate, documentation airtight, broker coordination seamless, and client records current — so that Relationship Managers can focus on revenue-generating activities. The ideal candidate is detail-obsessed, deadline-driven, and deeply familiar with UAE real estate portals, regulatory forms, and CRM systems.
KEY RESPONSIBILITIES Listings & Portal Management- Create, verify, and maintain property listings on Property Finder, Bayut, and Dubizzle.
- Ensure all listings carry valid Trakheesi permits and are compliant with RERA advertising regulations.
- Coordinate with brokers and Relationship Managers to update listing status, pricing, and availability in real time.
- Monitor portal performance metrics (impressions, leads, quality score) and flag anomalies.
- Prepare, review, and file all standard leasing forms including Form A (listing agreement), Form B (buyer/tenant), and Form F (MOU/contract of sale) in line with RERA requirements.
- Manage digital filing of all broker and property documentation; ensure central, organised storage with version control.
- Track document expiry dates (permits, NOCs, tenancy contracts) and proactively initiate renewals.
- Maintain full audit-ready records for all active and closed leasing transactions.
- Maintain accurate and up-to-date client records, contact lists, and transaction pipelines in Hub Spot and Salesforce.
- Log all client interactions, follow-up tasks, and deal stages; flag stale leads or overdue tasks to the Relationship Manager.
- Generate weekly CRM hygiene and pipeline status reports for team review.
- Act as the primary administrative point of contact for registered brokers; handle document collection, onboarding support, and query resolution.
- Coordinate viewing schedules, broker briefings, and property access requests.
- Support the Relationship Manager in preparing commercial proposals, tenancy agreements, and client presentations.
- Handle incoming calls and emails; triage inquiries and route to the appropriate team member within agreed SLAs.
- Draft professional correspondence including follow-up emails, offer letters, and client notifications.
- Support Relationship Managers with scheduling, reporting, and ad hoc administrative tasks.
- Bachelor’s degree in Business Administration, Real Estate, or a related field.
- Minimum 2 years of administrative experience in UAE real estate, property management, or a leasing-focused role.
- Demonstrable knowledge of Dubai real estate procedures:
Trakheesi, RERA forms, Ejari, and DLD processes. - Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Hands‑on experience with Hub Spot, Salesforce, or a comparable CRM platform.
- Expert‑level familiarity with Property Finder, Bayut, and Dubizzle listing portals.
- Excellent written and spoken English;
Arabic is a strong advantage.
