Position: Coordinator (Portfolio Management)

ROLE SUMMARY

The Coordinator role provides high-level administrative and operational support to the Executive, ensuring effective time management, seamless coordination, and high-quality preparation of reports and materials.

This role goes beyond traditional diary management and includes ownership of recurring reporting cycles, data consolidation, executive presentations, and cross-functional coordination to enable informed decision-making.

ROLE PROFILE
  • Manage complex calendars, meetings, confidential correspondence, travel arrangements, and expense processing.
  • Prepare agendas, materials, and track action items to ensure effective follow-up.
  • Lead recurring reporting cycles (weekly, monthly, quarterly) and ensure timely delivery.
  • Compile data from multiple departments, verify accuracy, and track KPIs while flagging inconsistencies.
  • Create high-quality executive decks, translating data into clear, structured messaging.
  • Act as liaison between executives and internal/external stakeholders, ensuring alignment and timely communication.
  • Support cross-functional initiatives by monitoring milestones and deliverables.
  • Strong organization, advanced Excel & PowerPoint skills, attention to detail, proactive mindset, discretion, and ability to manage multiple priorities under tight deadlines
REQUIREMENTS
  • Bachelor’s degree in business administration or related field.
  • 5+ years’ experience supporting senior executives.
  • Proven experience in preparing management reports and executive-level presentations.
  • Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook)
  • Experience handling confidential and sensitive information.
