Role OverviewProvide high‑level executive, operational, and administrative support to Middle East leadership, enabling effective day‑to‑day execution while ensuring full confidentiality and adherence to organizational policies.
This is a hands‑on, execution‑driven role requiring strong judgment, deep local expertise, and the ability to independently own outcomes across executive support, office operations, compliance, finance coordination, and government relationships.
Key Responsibilities Executive Support & Enablement- Serve as a trusted partner to regional executives, ensuring seamless daily operations and proactive coordination across internal and external stakeholders.
- Manage complex calendars, meeting prioritization, and executive scheduling.
- Coordinate all travel logistics, including flights, accommodation, transport, and detailed itineraries.
- Act as the primary coordination point between executives, teams, and external partners.
- Track priorities, deadlines, and deliverables across multiple concurrent initiatives, ensuring timely follow‑up and escalation.
- Prepare meeting agendas, documentation, presentations, and briefing materials.
- Manage approvals, signatures, and documentation workflows using digital tools (e.g., Docu Sign).
- Oversee expense management and general executive office administration.
- Support expansion into additional Middle East markets, including entity setup coordination and operational readiness.
- Establish and manage local procurement processes in partnership with global Finance and Procurement.
- Source and manage vendors across facilities, IT, payroll, accounting, legal, and corporate services working with dedicated global departments.
- Track regional operating expenses, review invoices, and support cost optimization with the regional finance lead.
- Maintain strong operational controls, documentation standards, and vendor governance.
- Review and enhance administrative workflows to ensure efficient, compliant office operations.
- Coordinate logistics for visiting delegations, internal events, and external engagements in alignment with corporate brand standards.
- Manage visas, work permits, Emirates IDs, medicals, and immigration processes in coordination with PROs and free zone authorities.
- Ensure compliance with trade licenses, renewals, registrations, and regulatory filings.
- Maintain audit readiness across HR, employment, and operational processes.
- Act as primary liaison with UAE government entities, free zones (e.g., DMCC, DIFC, DDA), and external advisors.
- Monitor regulatory changes and assess operational implications.
- 6+ years of Executive Assistant, operations, or office management experience in a fast‑paced, multinational environment.
- Proven experience supporting C‑level or senior regional leadership.
- Strong knowledge of Middle East business operations
- Experience managing vendors, budgets, compliance, and external stakeholders.
- High emotional intelligence, discretion, and sound judgment.
