We are currently hiring a Team Assistant on behalf of a prestigious client, based in their Dubai office.

Job Purpose

The Team Assistant provides high‑quality administrative and organizational support to senior leaders and business teams within the company. This role ensures the smooth day‑to‑day running of team operations, supports internal and external stakeholders, and upholds the company's standards of professionalism, confidentiality, and efficiency.

Job Responsibilities Administrative & Office Management
  • Manage complex calendars, schedule meetings across multiple time zones, and coordinate conference rooms and video calls.
  • Handle all travel logistics (flight bookings, visas, accommodation, itineraries).
  • Process expense claims promptly and accurately via internal systems.
  • Maintain department shared drives, distribution lists, and contact groups.
Business Support
  • Prepare, edit, and format documents, presentations, and reports.
  • Support onboarding of new employees.
  • Assist with coordination of internal projects and follow-up on outstanding actions.
  • Track reporting deadlines and ensure timely submission of team deliverables.
Communication & Stakeholder Coordination
  • Serve as the first point of contact for the team.
  • Liaise with internal departments to resolve issues.
  • Coordinate senior‑level client or internal visits.
Event & Meeting Coordination
  • Organize internal meetings, workshops, and townhalls.
  • Capture meeting minutes and follow up on action items.
Skills & Qualifications
  • Previous experience as an administrative assistant or team assistant.
  • Strong proficiency in Microsoft Office.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong organizational skills.
  • Discretion when handling confidential information.
  • Bachelor’s degree preferred or equivalent experience.
  • Experience working within a regulated environment.
  • Managing multiple stake holders and multitasking
  • Working knowledge of Arabic is an advantage.
