Position OverviewProvide fundamental support to the Relationship Manager(s) (RM), Investment Managers (IM) to assist in the day‑time business activities in all aspects of client servicing and operational support. Act as the primary point of contact for RM and client for all operational requests by liaising with key stakeholders at the Booking Centre (Cross Border desk, iCAT, Client onboarding, Operations, COO, Business Management, Trading teams etc) and locally (Business Management, Client onboarding Investment Advisory teams) as appropriate.
Responsible for timely action on requests and service requirements to meet the client/RM requirements.

- Expense Management:
- Handle Concur claims and G&E (Gifts & Entertainment) approvals (Template has been shared with above staff to be completed to enable the claim process)
- Ensure timely and complete accurate submission of expense claims
- Marketing Support:
- Collect and manage information for marketing events according to specific requirements
- Provide regular updates on event preparations
- Gather attendee names from Relationship Managers (RMs), Raise G&E for the RMs attendees (clients & prospects)
- Ensure templates are filled with client Bios and timely submission for Sr Management review.
- Festive gifts:
- Organise and manage gifts for RMs in Concur, including raising approvals for ParentID
- Organise and manage gifts for RMs in DB Buyer, payment to Vendors
- Collaborate with location wise RMs to ensure all steps are correctly followed.
- Employee Onboarding/Offboarding:
- Facilitate orderly & timely onboarding and offboarding processes for employees (Dubai)
- Creation & Maintenance of processes notes for each application (System accesses) and to be updated (Dubai)
- Creation & Maintenance of processes notes for all activities undertaken (Dubai)
- Ensure all necessary processes are completed accurately & timely manner (Dubai)
- New Joiner email to be drafted and circulated for every new joiner for the GSAA team (All Locations) promptly.
- Invoice and Purchase Order Management:
- Submit invoices on DB Buyer and raise Purchase Orders (POs) as required (Dubai)
- Ensure timely processing and follow‑up on payments (Dubai)
- Adhoc Tasks:
- Assist with various tasks as required by the management
- Room bookings as required
- Support other administrative tasks and projects as required
- Manage and update contact lists and distribution lists

- Co‑ordinate tasks (Newsletter etc) across locations.
- Maintain Birthday tracker & communication of wishes to GSAA
- Monthly Reporting:
- Prepare the monthly RM deck for required locations (Dubai, Singapore)
- Compile and organise data and report as needed for monthly reviews to each location head
