Role Overview
The Person al Assistant (PA) to the Director will provide high-level confidential executive, administrative, and strategic support to the Director. The role requires exceptional organizational skills, discretion, business acumen, and the ability to manage multiple priorities in a fast-paced corporate environment.
Key Responsibilities Executive Support- Manage Director's calendar, appointments, meetings, and travel arrangements (domestic & international).
- Coordinate internal and external meetings, prepare agendas, presentations, and minutes of meeting (MoM).
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Screen and prioritize emails, calls, and correspondence.
- Draft professional emails, reports, business letters, and presentations.
- Maintain confidential records, files, and documentation.
- Track action items and follow-ups from meetings.
- Coordinate with department heads for reports, MIS, and updates.
- Assist in preparing business proposals, financial summaries, and management reports.
- Support project tracking and ensure timelines are adhered to.
- Conduct research, compile data, and prepare briefing notes for decision-making.
- Liaise with clients, vendors, government authorities, and partners when required.
- Arrange visa processing, accommodation, transport, and itineraries.
- Organize board meetings, investor meetings, and corporate events.
- Ensure smooth protocol arrangements for VIP visits.
- Handle sensitive information with strict confidentiality.
- Ensure documentation and correspondence comply with UAE business standards.
- Maintain professional discretion at all times.
- Bachelors degree in Business Administration, Management, or related field.
- MBA preferred.
- 5–10 years of experience as Executive Assistant / Personal Assistant to CXO/Director level.
- Experience in UAE corporate environment preferred.
- Exposure to trading/manufacturing/infrastructure sector is an advantage.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High level of discretion and integrity.
- Proficiency in MS Office (Excel, PowerPoint, Outlook).
- Ability to work under pressure and manage tight deadlines.
- Strong coordination and stakeholder management skills.
