Position: Personal Assistant To Director- UAE candidates only

Role Overview

The Person al Assistant (PA) to the Director will provide high-level confidential executive, administrative, and strategic support to the Director. The role requires exceptional organizational skills, discretion, business acumen, and the ability to manage multiple priorities in a fast-paced corporate environment.

Key Responsibilities Executive Support
  • Manage Director's calendar, appointments, meetings, and travel arrangements (domestic & international).
  • Coordinate internal and external meetings, prepare agendas, presentations, and minutes of meeting (MoM).
  • Act as the primary point of contact between the Director and internal/external stakeholders.
  • Screen and prioritize emails, calls, and correspondence.
Administrative & Coordination
  • Draft professional emails, reports, business letters, and presentations.
  • Maintain confidential records, files, and documentation.
  • Track action items and follow-ups from meetings.
  • Coordinate with department heads for reports, MIS, and updates.
Business & Strategic Support
  • Assist in preparing business proposals, financial summaries, and management reports.
  • Support project tracking and ensure timelines are adhered to.
  • Conduct research, compile data, and prepare briefing notes for decision-making.
  • Liaise with clients, vendors, government authorities, and partners when required.
Travel & Event Management
  • Arrange visa processing, accommodation, transport, and itineraries.
  • Organize board meetings, investor meetings, and corporate events.
  • Ensure smooth protocol arrangements for VIP visits.
Confidentiality & Compliance
  • Handle sensitive information with strict confidentiality.
  • Ensure documentation and correspondence comply with UAE business standards.
  • Maintain professional discretion at all times.
Key Requirements Education
  • Bachelors degree in Business Administration, Management, or related field.
  • MBA preferred.
Experience
  • 5–10 years of experience as Executive Assistant / Personal Assistant to CXO/Director level.
  • Experience in UAE corporate environment preferred.
  • Exposure to trading/manufacturing/infrastructure sector is an advantage.
Skills & Competencies
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • High level of discretion and integrity.
  • Proficiency in MS Office (Excel, PowerPoint, Outlook).
  • Ability to work under pressure and manage tight deadlines.
  • Strong coordination and stakeholder management skills.
