Overview

We are seeking a highly organized and proactive Executive Assistant to support our Group Chief Investment Officer at Zahid International FZE. This role is pivotal in ensuring seamless executive operations, effective communication, and strategic coordination across internal and external stakeholders.

The Executive Assistant will play a key role in managing complex schedules, preparing executive-level materials, and enabling smooth decision-making in a fast-paced, high-performance environment.

Key Accountabilities
  • Manage complex calendars, schedule meetings, and coordinate appointments with precision and foresight
  • Organize domestic and international travel, including flights, accommodations, and detailed itineraries
  • Prepare briefing materials, agendas, presentations, and follow-up notes to support executive decision-making
  • Handle confidential information with the highest level of professionalism and discretion
Operational Excellence
  • Coordinate executive-level meetings, board sessions, and strategic events
  • Track deadlines, priorities, and key deliverables to ensure timely completion of all executive tasks
  • Maintain organized digital and physical filing systems, ensuring documents are easily retrievable
  • Process expense reports, invoices, and procurement requests with accuracy and efficiency
Communication & Stakeholder Engagement
  • Serve as the primary point of contact between the executive and internal/external stakeholders
  • Ensure timely, accurate communication across departments to support alignment and smooth workflow
  • Conduct research, compile data, and prepare summaries or reports as needed
Knowledge, Skills & Aptitude
  • Bachelor’s degree in Business Administration or a related field
  • 8–10 years of experience supporting senior executives, preferably in a financial institution
Technical & Professional Skills
  • Proficiency in Microsoft 365 (Outlook, Excel, Word, Teams, PowerPoint)
  • Strong digital organization and document management capabilities
  • Skilled in scheduling tools, video conferencing platforms, and travel management systems
  • Exceptional written and verbal communication skills in English; additional languages are an advantage
