** Key Responsibilities and Accountabilities:
*** This role will be responsible for procuring, sourcing, and coordinating suitable suppliers and contractors to meet event requirements. This includes, travel, accommodation, accreditation, catering, vendors, utilities, travel services, and other logistic needs
* Provide broad admin and logistical support to the wider events team across all aspects of the Golf event delivery. This may include supporting multiple events simultaneously and adapting to changing priorities
* Work closely with the Event Manager and Event Director to maintain planning documents, manage invoicing and purchase orders, and provide administrative support across a wide scope of ad hoc tasks as required
* Manage supplier invoicing and billing processes, ensuring accurate tracking of costs, timely submission of invoices, and monitoring of payment progress in line with internal procedures
* Responsibility for all event-related administrative duties, including the coordination of team travel arrangements such as visas, flights, ground transportation, and hotel bookings. This includes liaising with relevant stakeholders to ensure accurate travel schedules are aligned and documentation are in place
* Responsibility for tracking, reporting, and summarising documentation where required
* Provide on-site support during events, assisting with event execution, logistics coordination, and issue resolution to ensure smooth operations
* Participate in regular event status meetings and calls and may be responsible for organising meetings, distributing agendas, and recording and circulating meeting minutes as needed
* Assist the events team with bespoke and ancillary events such as Partner Workshops providing support during pre-event planning, on-site delivery, and post-event wrap-up
* Assist in the preparation of post-event reports and any additional reporting requirements, contributing insights and accurate data to support continuous improvement
* Carry out general supportive tasks to facilitate smooth day-to-day administrative operations and contribute positively to team efficiency
* Carry out any other duties within the reasonable scope of the role may be required to support the successful delivery of events. The role requires flexibility on responsibilities across the event and includes travel across the calendar year
** Knowledge and

Experience:

*** Demonstratable experience in event coordination, logistics and delivery
* Experience in event management preferably within Golf or the Sports industry
* Understanding of travel logistics, basic finance and payment process and good network of suppliers
* Experience in end-to-end project management is desirable
*
* Skills and Abilities:

*** The ability to excel in a fast-paced environment
* Working knowledge of MS Office software, including Word, Excel, Outlook and Power Point
* Strong verbal and written communication skills
* Ability to build long-lasting working relationships with internal and external stakeholders
* Ability to self-direct and motivate and work with minimal supervision
* A strong team player that is flexible dependent on business demand and prioritize based on changing needs of both the client, the team and the event
