Position: Assistant – 12-month temporary contract, 100%

Job Description

We are seeking a highly organized and detail-oriented professional to help us run the day-to-day operations of our Dubai office on a temporary basis. This role is ideal for someone who thrives in an entrepreneurial, fast-paced international environment with a proactive and independent work style.

You Will Have The Following Responsibilities
  • Assist with the day-to-day running of the office and maintaining office supplies;
  • Travel management:
    Book and coordinate travel arrangements and logistics (flights, hotels, drivers), ensuring smooth execution of roadshows and client visits;
  • Visa management:
    Responsible for obtaining visas for all trips;
  • Diary management:
    Assist with scheduling meetings and preparing relevant materials;
  • Expense management:
    Processing expense reports and reconciling invoices;
  • CRM maintenance:
    Updating contacts, meeting notes, opportunities and distribution lists in Deal Cloud;
  • DIFC portal submissions:
    Handle UAE visa applications/renewals, NOC requests, and parking access;
  • Client services:
    Assist with client requests as needed;
  • Responsible for maintaining office filing systems, ensuring client documents and latest presentations are filed and kept up to date.
Requirements
  • A minimum of 5 years of relevant work experience in a similar role, preferably for a global asset management group or within financial services;
  • Knowledge of MEA Region, i.e. familiarity with travel regulations, visa requirements, and cultural considerations;
  • Proven experience in organizing complex travel itineraries, including international travel;
  • Ability to manage multiple tasks and priorities efficiently;
  • High level of accuracy and attention to detail;
  • Flexible with a “can do” attitude;
  • Proactive and solution oriented mindset with the ability to work independently;
  • Proficiency in English; knowledge of additional languages spoken in the MEA region is a plus.
