Junior Executive Assistant / Personal Assistant (EA/PA)
Location:
Dubai, UAE (preferred) or Remote
We are seeking a proactive and highly organised Junior Executive Assistant / Personal Assistant to support a senior executive across both business and personal priorities. This is a high-trust, hands-on role ideal for someone early in their EA/PA career who is eager to learn, take ownership, and grow into a more senior support position over time. The role requires strong execution, discretion, and the ability to manage multiple tasks with structure and reliability.
Key ResponsibilitiesExecutive & Personal Support
- Support calendar management, scheduling, and day-to-day prioritisation.
- Assist with travel planning and logistics, including bookings, itineraries, and transport arrangements.
- Coordinate personal and household tasks such as appointments, renewals, services, and deliveries.
- Liaise with household and personal vendors to obtain quotes, schedule services, and follow up on completion.
- Maintain organised and secure digital filing for personal documents and records.
- Assist with coordinating vendor and staff payments, invoice collection, and payment tracking.
- Maintain trackers for expenses, subscriptions, renewals, and recurring payments.
- Support coordination with internal or external finance contacts to ensure documentation is prepared and submitted on time.
- Help maintain up-to-date vendor records, including contracts and banking details.
- Support day-to-day operational task management using checklists and trackers.
- Follow up with internal stakeholders and external suppliers to keep tasks on schedule.
- Assist in documenting simple processes and workflows for recurring tasks.
- Support recruitment logistics, including scheduling interviews and coordinating candidate communications.
- Assist with onboarding and offboarding administration and document collection.
- Help maintain confidential staff records and basic leave tracking.
- Some experience in an administrative, PA, EA, or office support role (corporate or private support).
- Strong organisational skills with excellent attention to detail.
- Reliable follow-through and the ability to manage multiple tasks.
- High level of professionalism and discretion when handling sensitive information.
- Clear written and verbal communication skills.
- Comfortable using productivity tools (Google Workspace or Microsoft Office, calendars, spreadsheets, task tools).
- Based in Dubai or able to work remotely with strong availability and responsiveness.
- Exposure to payment coordination, expense tracking, or invoice administration.
- Experience supporting HR or recruitment administration.
- Experience working with senior executives or founders.
- Standard working hours aligned with UAE business hours.
- Some flexibility may be required for time-sensitive or urgent matters.
- Opportunity to grow into a more senior EA role as responsibilities expand.
