We are seeking a professional and personable Receptionist to join our dynamic team. As the first point of contact for clients and visitors, the Receptionist plays a critical role in setting the tone for our organization. Your friendly demeanor and proactive attitude will ensure all guests feel welcome and that all front desk operations run smoothly. - Greet all guests and visitors with a welcoming and professional attitude.
- Manage and direct incoming phone calls to the appropriate departments or staff.
- Maintain a neat and tidy reception area to uphold company image standards.
- Coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
- Receive, sort, and distribute mail and deliveries in a timely manner.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Assist in preparing meeting rooms and provide necessary support materials.
- Support administrative tasks, such as data entry and handling office supplies inventory.
- Develop and maintain a positive relationship with clients and colleagues.
- Ensure security procedures are followed for all visitors entering the premises.
- Address queries and provide information about our company and services.
- Assist with special projects and support other team members as needed.
- High school diploma or equivalent; additional qualifications will be a plus.
- Proven experience as a front desk representative or similar role.
- Proficiency in Microsoft Office Suite and office management software.
- Strong communication skills, both written and spoken, are essential.
- Exceptional organizational and multitasking abilities are necessary.
- Customer service orientation and a presentable, professional appearance.
- Ability to work independently and handle pressure in a fast-paced environment.
