Job Summary

We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be adept at multitasking, possess strong communication skills, and have a keen attention to detail. This role is crucial in ensuring the smooth operation of our executive office and will involve a variety of administrative tasks.

Key Responsibilities
  • Administrative Support
    :
    Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, invoicing and filing and organizing travel arrangements.
  • Communication Management
    :
    Act as a liaison between executives and internal/external stakeholders, handling correspondence and inquiries in a professional manner.
  • Meeting Coordination
    :
    Prepare agendas, take minutes, and follow up on action items from meetings. Ensure all necessary materials are available for meetings.
  • Project Management
    :
    Assist in managing special projects, tracking deadlines, and ensuring timely completion of tasks.
  • Document Preparation
    :
    Create and edit reports, presentations, and other documents as needed. Ensure all materials are accurate and professionally formatted.
  • Office Management
    :
    Oversee office supplies and equipment, ensuring a well-organized and efficient workspace.
  • Confidentiality
    :
    Handle sensitive information with discretion and maintain confidentiality at all times.
  • Event Planning
    :
    Organize company events, including team-building activities and executive retreats.
Qualifications
  • Education
    :
    Bachelor’s degree in Business Administration or related field preferred.
  • Experience
    :
    Minimum of 3-5 years of experience as an executive assistant or in a similar role.
  • Technical Skills
    :
    Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
  • Communication Skills
    :
    Excellent verbal and written communication skills; ability to interact professionally with all levels of staff and external partners.
  • Organizational Skills
    :
    Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Problem-Solving
    :
    Ability to think critically and solve problems independently.

    :
    Comfortable working in a fast-paced environment and handling changing priorities.
