Site Document Controller

The Site Document Controller is responsible for managing, organizing, and maintaining all project documentation at the site level. This role ensures that accurate, up-to-date documents are available to project teams, subcontractors, and clients in compliance with company procedures and project requirements.

Key Responsibilities
  • Control, track, and maintain all project documentation (drawings, technical documents, correspondence, RFIs, submittals, method statements, etc.).
  • Ensure correct version control, numbering, and filing of documents (hard copy and electronic).
  • Receive, register, distribute, and archive incoming and outgoing documents.
  • Coordinate with engineers, consultants, contractors, and subcontractors regarding document submissions and approvals.
  • Maintain document control logs, registers, and transmittals.
  • Ensure documents are compliant with company standards and project document control procedures.
  • Support audits by ensuring document traceability and completeness.
  • Maintain confidentiality and data integrity of project documents.
  • Assist project teams with document retrieval and reporting when required.
  • Monitor document submission deadlines follow up on pending approvals.
Qualifications & Experience
  • Diploma or Bachelor’s degree in Business Administration, Engineering, or a related field (preferred).
  • 2–5 years of experience as a Document Controller, preferably on construction or engineering projects.
  • Experience working on-site is an advantage.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Experience with Document Management Systems (e.g., Aconex, Procore, SharePoint, EDMS).
  • Good communication and coordination skills.
  • Ability to work under pressure and meet deadlines.
  • Understanding of document control procedures and ISO standards (preferred).
