Receptionist and Parent Liaison Officer – Regent International School

Fortes Education is inviting applications for the position of Receptionist and Parent Liaison Officer at Regent International School.

Job Role

The successful candidate will serve as the first point of contact for parents and visitors, provide administrative support, and maintain open communication lines to ensure a smooth school experience for families.

Responsibilities
  • Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Provide efficient office support services to improve school operations.
  • Liaise, communicate, and nurture enrolled family relationships in line with the school engagement lifecycle.
  • Maintain open lines of communication with existing parents, handling concerns, complaints, and feedback effectively and in a timely manner.
  • Coordinate parent and community events to engage parents in school activities and celebrations.
  • Assist in the induction process via welcome packs and regular touch‑base calls.
  • Act as the first point of contact for all parental complaints, monitoring, following up, and escalating concerns as required.
  • Attend weekly FOSS/FRISS meetings to identify and address queries and concerns.
  • Monitor and screen all complaints, answering enquiries, processing requests, and logging walk‑in information onto the CRM.
  • Welcoming and engaging with prospective parents and visitors, addressing their needs with a smile (e.g., processing early pick‑up, late pickup, food drop‑off, item drop‑off).
  • Filter, re‑direct incoming queries to the appropriate staff members, communicating on all matters related to placement, curriculum, fees, scholarships, and health & safety.
  • Physically usher new families through the admissions and induction process.
  • Support GLO on new student KHDA registration and procure required documentation.
  • Assist the admissions team with back‑end data entry into CRM/SIMS/VLE and digital forms.
  • Maintain student attendance, evacuation, absence, lateness, early pick‑up registers, and conduct call, email, and survey campaigns with existing families.
  • Undertake regular surveys of new parent views, and collaborate with the marketing team on strategies for prospective parents.
  • Alert the Head of Phase/Principal about potential family withdrawals.
  • Support FCO Marketing by updating the Dubai Schools Market Study via relevant digital forms.
  • Conduct family exit interviews via initial meeting/phone call with a parent.
  • Maintain security by monitoring the logbook and issuing visitor badges.
  • Update appointment calendars and schedule meetings/appointments.
Job Specification
  • Bachelor’s degree in any discipline.
  • Strong written and oral communication skills.
  • Bi‑lingual candidates who speak Russian or another additional language are an advantage.
  • Excellent customer‑service, negotiation skills, and a flair for numbers.
  • Functional computer skills, including CRM and general productivity software.
