Our client is seeking a Workplace Coordinator who creates a welcoming, well‑run environment for employees, vendors, and guests. This role supports daily office operations, front desk coverage, event coordination, and vendor management. The ideal candidate thrives in hospitality, communicates clearly, and enjoys keeping a workspace running smoothly.
Contract Duration: 6 months | W2
Location:
Candidates must reside within a reasonable daily commuting distance (up to 45 minutes) | Local Draper-area candidates are strongly preferred
Requirements:
- Ability to lift and carry items up to 25 lbs.
- Oversee visitor management using Envoy.
- Receive, sort, and distribute mail and packages.
- Deliver a high‑quality employee and guest experience.
- Manage office supplies, inventory, and storage organization.
- Participate in emergency procedures, including evacuations.
- Manage front desk operations with a customer‑first mindset.
- Coordinate catering, onsite events, room setups, and event breakdowns.
- Maintain daily communication with stakeholders across the business.
- Operate the Workplace Jira ticketing system and respond to requests promptly.
- Support preventative maintenance and escalate facilities issues as needed.
- Assist with administrative tasks, special projects, and budget tracking.
- Serve as a primary point of contact for onsite vendors, employees, and visitors.
- Maintain consistent onsite availability and support occasional evening/weekend needs.
Qualifications/Must-Haves:
- Proficiency with Jira, Slack, and Envoy.
- English fluency in both written and verbal communication.
- Strong customer service and interpersonal communication skills.
- Experience with vendor coordination and event/catering support.
- Ability to work in a fast‑paced environment with shifting priorities.
- 1–3 years of experience in workplace operations, hospitality, or office coordination.
- Front desk or workplace support experience in a professional office environment.
- All education levels will be considered; equivalent practical experience is fully acceptable.
Nice-to-Haves:
- Hospitality industry background.
- Experience supporting facilities or workplace programs.
- Energetic, positive attitude with an ownership mindset.
- Ability to problem‑solve quickly and adapt on the fly.
