Job Summary

HOALiving seeks a team member for the role of Administrative Assistant. This position plays a critical role in delivering exceptional service to all current and potential clients. Qualified candidates have strong customer service skills, are organized, work well in a team setting and have the ability to learn from experience. The candidate must comply with the established policies and procedures.

Scope

This position works with the operations team and reports directly to the Senior Community Specialist. The Administrative Assistant is responsible for providing support to customers via phone, email or in person assistance.

Responsibilities
  • Promote positive customer experience
  • Respond to homeowner telephone inquiries
  • Maintain return mail action items
  • Triage owner inquiries – research and attach to appropriate owner accounts
  • Update homeowner account notes
  • Backup Customer Service Representative phone and voicemail queue as necessary
  • Attend to any walk-in clients
  • Accept deliveries and distribute to appropriate team members
  • Accept legal document deliveries and execute specified legal document procedure
  • Scanning and electronic filing of documents
  • Entry System Management (pool fobs and gate)
  • Other duties as may be assigned
Knowledge, Skills & Abilities

Knowledge &

Skills:

  • Understanding of Microsoft products – operate spreadsheets, email and type a minimum of 45 wpm
  • Ability to maintain a high level of accuracy and organization dealing with homeowner accounts and correspondence

Education & Work Experience Qualifications
  • High School Diploma or equivalent
  • Previous experience in a customer service‑related role is required (2+ years)
Office Environment

The Administrative Assistant may spend long hours sitting/standing and using office equipment in an open office environment. The incumbent will be faced with interruptions and must deal with a wide variety of people on various issues.
