Scion Staffing has been engaged to conduct a search for an Office Administrator / Front Desk Receptionist for a growing, privately held professional services firm. This is a full-time, onsite role based in Downey, CA
.

POSITION OVERVIEW

The Office Administrator will serve as the welcoming first point of contact and provide essential administrative and clerical support to ensure smooth day-to-day office operations. Reporting directly to the CEO, this role supports internal teams, contractors, and clients through coordination, communication, and organization. This is an excellent opportunity for a detail-oriented professional who enjoys variety, responsibility, and being central to an office’s success.

RESPONSIBILITIES
  • Serve as the front desk point of contact by answering and routing phone calls, greeting visitors, and managing inbound and outbound communications
  • Coordinate communication with customers, vendors, contractors, drafters, and municipalities to support ongoing operations and projects
  • Schedule meetings, appointments, and travel; prepare agendas and distribute meeting notes or records as needed
  • Maintain organized electronic and physical filing systems, retrieve records, and prepare written summaries upon request
  • Track invoices, expenses, petty cash, and credit card usage; support progress billing and basic bookkeeping tasks as directed
  • Maintain accurate and up-to-date administrative and project-related records and provide general office support as needed
QUALIFICATIONS
  • Strong verbal and written communication skills with a customer-focused approach
  • High level of organization, attention to detail, and ability to manage multiple priorities
  • Proficiency with Microsoft Office (Word, Excel, Outlook, Teams);
    Quick Books experience a plus
  • Ability to work independently with a proactive, “can-do” mindset
  • Bilingual in English and Spanish required
COMPENSATION AND BENEFITS

This position offers $27–$30 per hour
, depending on experience, along with access to medical and dental benefits
