Summary Statement

An incumbent is responsible for providing advanced administrative support to an administrative or technical supervisor and unit staff.

Nature and Scope

An incumbent reports to an administrative or technical supervisor, serves in a liaison capacity between the supervisor and internal and external stakeholders, and performs advanced administrative tasks with high attention to detail. Duties include managing sensitive confidential information, ensuring data accuracy, and adhering to deadlines to impact both students and employees.

Principal Accountabilities
  • Act as liaison between supervisor faculty, other departments, students, and the public; provide guidance on routine and some non-routine matters; collect and compile data for reports.
  • Compose, format, and type memoranda, correspondence, and reports; prepare financial/legal documents, contracts, and charts while maintaining confidentiality.
  • Review and route incoming mail; compose replies for supervisor’s signature; maintain filing system; order supplies; forward copies for response.
  • Support department/division by providing routine information to callers, transferring calls, scheduling appointments, greeting visitors, and directing visitors to appropriate staff person.
  • Arrange details for meetings, conferences, events, and travel, including schedules, reservations, location, taking minutes, and guest seating.
  • Establish and maintain complex filing system using paper and digital filing; keep records such as staff time and leave, attendance, and financial documents; maintain accounting procedures for divisional budget.
  • Analyze routine operating practices related to workflow, cost reduction, and supply utilization; recommend changes when necessary.
  • Track budget expenditures, perform research, and related duties for budget preparation including registrations, payments, travel requests, mileage calculations, and research rates and lodging allotments; collect receipts and reconcile credit card.
  • May supervise, train, or provide guidance and support to other clerical employees and/or College Work Study students.
  • Perform other related duties as required.

Minimum Qualifications

Associate’s degree in a relevant field and two (2) years of responsible administrative support experience; or equivalent combination of education and experience.
