Mgr Patient Access Services – Wellstar Health System

Overview

Work Shift:

Day (United States of America)

Under the leadership of the Well Star AVP, Executive Director and Director of Patient Access Services, the Manager plans, coordinates and controls staff and activities to promote the highest level of effectiveness in meeting established goals and objectives.

Key responsibilities include performing clerical procedures requiring independent judgment, ensuring adherence to policies, improving employee engagement, quality, and excellence of work performed, delivering world-class customer service, and supporting staff education.

Core Responsibilities & Essential Functions

Leading, planning, and HR:

  • Provide effective leadership to Supervisors, Team Leads, and PAS staff.
  • Assist in daily planning, organization, prioritization, and management of Patient Access Service operations.
  • Collaborate with Administrators, Executive Directors, and Directors to design and implement services that align with Well Star vision.
  • Motivate employees, foster teamwork, and promote a culture of accountability.
  • Hold staff accountable for meeting Key Performance Indicators across POS cash collections, customer service, and patient throughput.
  • Develop and implement 90‑day action plans in partnership with PAS Revenue Cycle leadership.
  • Participate in special projects and represent the department at WHS PAS meetings.
  • Manage daily operational functions, including performance reviews, hiring, counseling, promotions, and transfers.
  • Mentor and coach teams to support effective leadership and accountability.
  • Monitor absenteeism and enforce Well Star policies, maintain personnel files, and ensure a clean, well‑equipped work environment.
  • Be available to staff 24/7 as needed.
  • Exhibit preferred leadership qualities such as drive, intellectual acumen, relationship building, and focus.

Communication & Customer Service:

  • Maintain ongoing communication with other departments and keep the PAS Director informed of complex issues.
  • Conduct regular staff meetings, disseminate information, and analyze departmental reports on productivity and quality.
  • Resolve patient, physician, interdepartmental, and customer issues promptly and fairly.
  • Monitor facility and area customer service scores, taking appropriate action when needed.
  • Build positive relationships with staff and physicians and foster a culture focusing on patient satisfaction and safety.
  • Deliver world‑class processes, high‑touch care, and constant innovation.

Budget & Financial Management:

  • Assist in development and monitoring of PAS budgets, ensuring accurate monthly variance reports.
  • Maintain collections at the time of service and collaborate with other managers to maximize cash flow.
  • Conduct studies to improve productivity, streamline operations, and reduce errors.
  • Manage resources and supplies efficiently, resolve errors, and maintain claim/denial work queues.
  • Coordinate monthly denial resolution and ensure compliance with regulatory requirements.

Performance Improvement & Compliance:

  • Lead participation in performance improvement projects, analyze results, and implement changes.
  • Maintain policies and procedures, ensure compliance with HIPAA, fraud, and abuse standards.
  • Build a culture of trust and engagement, uphold values of Well Star, and maintain relationships with physicians.
  • Provide training, departmental projects, presentations, and ongoing knowledge development.
Requirements
  • Minimum education:

    Bachelor’s in Business Administration/Management, Health Administration, or related field.
  • Required certifications upon hire (unless otherwise stated):
    Cert Healthcare Access Assoc, Cert Healthcare Access Mgr, Cert Healthcare Financial Prof, Certified Patient Account Rep, or Certified Revenue Cycle Rep.
  • Minimum 5 years managing hospital admissions, business office, or related area.
  • Proven performance improvement and change management experience.
  • Experience with Epic Grand Central, Cadence, or Prelude preferred.
  • Strong interpersonal, analytical, problem‑solving, and writing skills.
  • Comfortable interacting with directors and administrators; adept at independent judgment.
  • Proficiency with MS Office.
  • Demonstrates professionalism, effective communication, and active listening skills.
