Role Overview:
To own and manage the product complaints system and provide administrative support to the quality assurance department.
- Primary point of contact for the sales team.
- Manage the complaints database – documenting, investigating, reporting and communicating complaints and relevant information.
- Work with the QA team to inspect and test returned items.
- Generate technical reports.
- Investigate and root‑cause product quality issues (8D, etc).
- Generate weekly complaint reviews for management.
- Control timesheets and HR requests.
- Perform general office duties including booking staff holidays, arranging training with L&D and communicating team briefs.
- Input and review QA inspection data.
- File and control inspection documents.
- Update QA documentation upon request, including SSW, RA and internal specifications.
- Populate HSE folders with requested information and documents.
- Approve contractors’ or engineers’ permits to work.
- Record and circulate meeting minutes.
- Collect and record internal product nonconformance reports.
- Ensure all activities comply with company Health, Safety and Environment measures.
- Follow all procedures, safe‑working methods and practices to protect personal and others’ health and safety.
- Support the Health and Safety and Environment Policy as outlined in company procedures.
- Adhere to the policies in the Polypipe Drivers handbook.
- Follow the Substance Misuse Policy.
- Knowledge of H&S and environmental requirements.
- Knowledge and understanding of product specifications (internal & external).
- Self‑motivated with the ability to make decisions on own initiative.
- Reliable and trustworthy.
- Effective communication skills at all levels.
- Familiarity with company rules and procedures as set out in the employee handbook.
- Ability to promote a positive image of the company at all times.
