The Events Assistant supports the events function as a key component of community engagement. Duties include assisting in the planning organization and of events from preparation to delivery and followup with the goal of strengthening relationships between HEC Paris Doha and the local stakeholder community.
- Support the of the event strategy by assisting recursos in the planning and coordination of engagement activities
- Assist in organizing and delivering events of various formats (live virtual hybrid)
- Assistin maintaining and updating an annual events calendar
- Produce event briefs and postevent reports
- Provide logistical support including venue bookings speaker coordination scheduling and preparation of event materials (invitations promotional items etc.
- Participate in generaing mailing lists and updating records pre and postevent.
- Liaise with external event partners vendors and clients as needed
- Support compliance with professional event management standards including health and safety protocols
- Monitor event proceedings and assist in resolving any onsite issues
- Contribute to postevent analysis and feedback collection to improve future events
- Help coordinate event communications and enhance visibility within the local stakeholder community
- Support budget tracking and cost effective event planning
- Bachelors degree in Communications Marketing Business or a related field preferred
- 2 years work experience ideally in education culture or wider charitable sectors
- Relevant experience in event assistance or coordination preferred
- Strong organizational and planning skills with excellent time management and the ability to multitask.
- Excellent interpersonal and intercultural skills together with the ability to work collaboratively and courteously with varied stakeholders including executives
- Ability to manage wider processes outside of direct line management responsibility through relation shipbuilding and influence
- Ability to anticipate problems and generate solutions quickly
- Ability to work under pressure in a busy environment
- Ability to attend events and possibly work nontraditional hours such as late evenings and some weekends
- Ability to coordinate with multiple external suppliers
- Experience working with Salesforce MS Dynamics or similar CRM
- Excellent verbal and written communication skills in English and Arabic; proficiency in French is a strong advantage
- Prior experience in Qatar and/or GCC preferred
