We are seeking a highly organized and dependable Office Manager to oversee day-to-day office operations in Qatar, with a strong focus on government relations (GRO activities), banking coordination, and general office administration.
This role is critical to ensuring smooth regulatory compliance, efficient office operations, and effective coordination with external stakeholders such as ministries, banks, service providers, and vendors.
Key Responsibilities 1. Government Relations (GRO)- Act as the primary point of contact with Qatari government authorities, including but not limited to:
- Ministry of Interior (MOI)
- Ministry of Labour
- Ministry of Commerce & Industry (MOCI)
- Immigration and relevant portals
- Handle all residency-related processes, including:
- QID applications, renewals, transfers, and cancellations
- Medical tests, fingerprints, and biometrics coordination
- Exit permits and related approvals (if applicable)
- Manage company-related registrations and renewals, such as:
- Commercial Registration (CR)
- Trade License
- Computer Card
- Establishment Card
- Maintain accurate tracking of document expiry dates and ensure timely renewals.
- Coordinate with local banks for:
- Corporate bank account maintenance
- KYC documentation and periodic bank reviews
- Liaison for cheque books, tokens, signatory updates, and general bank requests
- Support finance teams with:
- Bank letters, attestations, and official confirmations
- Documentation required for payment gateways or financial partners
- Act as the local point of contact between the company, banks, and external advisors.
- Manage the day-to-day operations of the Qatar office, including:
- Office supplies, vendors, and service providers
- Maintenance, cleaning, and utilities
- Internet, telecom, and access management
- Oversee office setup, moves, and coordination with business centers or landlords.
- Ensure the office environment is professional, functional, and compliant with local regulations.
- Maintain and organize all corporate documents, contracts, and licenses (physical and digital).
- Coordinate with HQ and cross-functional teams (HR, Finance, Legal) on Qatar-related matters.
- Support onboarding and offboarding processes from an administrative and compliance perspective.
- Assist with ad-hoc operational and administrative tasks as required.
- 5+ years of experience in office management, GRO, or administrative roles in Qatar.
- Strong hands‑on experience with:
- QID processes
- Government portals
- Banking coordination in Qatar
- Solid understanding of Qatar labor laws, immigration processes, and company compliance.
- Excellent organizational and follow‑up skills.
- Ability to work independently and manage multiple priorities.
- Strong communication skills in English and Arabic.
- High level of discretion and professionalism when handling confidential information.
