In this role as a Facility Supervisor you will assist the Director with all administrative matters for the company’s business units Presbyterian Serving as the main contact for employees based in Qatar, providing guidance and assistance on a range of administrative issues.

Key Responsibilities
  • Plan and coordinate administrative procedures, systems, and processes.
  • Supervise day‑to‑day operations of the administrative department and staff.
  • Approve actions per the Authorization Matrix.
  • Follow up on the company’s official documents (licenses, certificates) to ensure validity.
  • Allocate vendors for internal services to office and factory.

    Adaptable for the capital group.
  • Maintain relationships with public authorities through regular visits and communication.
  • Maintain an effective filing system for documents and reports.
  • Ensure office supplies are stocked and equipment is maintained.
  • Monitor inventory of stationary and canteen supplies and manage purchasing within budget.
  • Facilitate flow of information within the company to support other functions.
  • Plan, schedule, and promote office events, meetings, conferences, orientations, and training sessions/workshops.
  • Assess staff performance and provide coaching and guidance for efficiency.
  • Verify supplier invoices and allocate costs for cross‑charging purposes.
  • Provide administrative support and smart solutions for work problems.
  • Perform other related tasks as required.
  • Ensure compliance with local HSE regulations.
  • Identify improvement areas and assist in setting goals and tools.
  • Conduct and monitor HSE audits (safety walks, near‑miss reporting, sustainability, waste mapping).
  • Assist in implementing and maintaining ISO 9001, OHSAS 18001, and ISO 14001 certifications.
Qualifications
  • University degree in Business Administration or a related field.
  • Proven experience as an Executive Secretary or similar administrative role.
  • Proficient with Microsoft Office Suite (Word, PowerPoint, Outlook, Excel).
  • Proficiency in English.
  • Excellent planning and  management skills.
  • Up‑to‑date with office gadget and application advancements.
  • Ability to multitask and prioritize daily workload.
  • High level of verbal and written communication skills.
  • Discretion and confidentiality.
