The Administrative Assistant serves as the reliable foundation of our daily office operations and the first point of contact for visitors, employees, and vendors. This role is essential to maintaining a welcoming, organized, and professional environment while providing steady administrative support across office, finance, recruiting, and safety functions. Reporting to the Marketing and Communications Manager, this position is ideal for someone who values consistency, takes pride in being dependable, and is seeking a long-term opportunity where reliability, attention to detail, and daily presence truly matter to the success of the team.
RESPONSIBILITIES- Greet and assist visitors, customers, employees, and vendors; ensure proper admittance procedures and notify appropriate staff of arrivals.
- Answer, screen, and direct incoming phone calls in a courteous and efficient manner.
- Route accounts payable invoices for approval and support basic finance-related administrative processes, including paper and electronic filing.
- Assist with data entry, record keeping, and document management across administrative and finance functions.
- Monitor applicant tracking system (ATS) workflows, including assisting posting positions, tracking candidates, and performing basic screening duties.
- Support new hire onboarding processes, including preparing electronic paperwork for signature, coordinating orientation logistics, and ensuring completion of required documentation.
- Process employee termination paperwork and coordinate off-boarding procedures.
- Provide administrative support to marketing, communications, recruiting, and safety initiatives as needed.
- Ensure compliance with company policies and maintain discretion when handling sensitive information.
- Utilize the Core Values to promote a positive and professional working environment through peer recognition, support, and clear communication while collaborating effectively with the teams.
- Lead by example and encourage accountability both up and down the chain of command.
- Must have earned a high school diploma or GED.
- Minimum of 2 years equivalent experience in an office setting.
- Strong comfort using modern computer systems, including Microsoft Outlook, Word, Excel, Teams and Adobe.
- Must pass a pre-employment drug test and comply with drug and alcohol policies during employment.
- Required to have a reliable form of transportation to and from work.
