Key duties include:
Logging work tasks onto the relevant helpdesk portals.
Allocating work orders to our directly employed maintenance team and approved supply chain partners.
Taking full ownership of PPM schedules and reactive maintenance jobs to ensure all tasks meet service requirements and deadlines.
Liaising with engineers and supply chain partners, following up to guarantee timely completion.
Monitoring progress against agreed KPIs, including response and rectification times, and escalating issues when necessary.
Ensuring engineer and service reports are completed accurately and stored in the correct locations.
Maintaining an up-to-date database of specialist sub-contractors, including current contact details.
Reporting job progress to clients and internal teams, then closing out tasks effectively.
Submitting completed job reports to the accounts team for prompt invoicing.
About you We are looking for someone who can demonstrate:
Previous experience in a similar coordination or administration role, or proven strong administrative skills in a service-based environment.
Excellent IT skills, with good working knowledge of Microsoft Word and Excel.
The ability to work independently, achieve results efficiently and take ownership of tasks.
A collaborative approach, with the willingness to support other activities to help meet company objectives.
Strong communication skills and the ability to influence and resolve issues effectively.
