Sphera Search’s Professional Support Division is recruiting for an experienced and detail-oriented Legal Secretary on behalf of an established law firm in the Detroit area. This position supports attorneys in a transactional and estate planning practice, with responsibilities spanning business formations, real estate transactions, estate planning, and probate administration. This firm is offering a strong compensation package as well as a welcoming environment.
Key Responsibilities
- Attorney Support
- Prepare professional correspondence and memoranda
- Transcribe dictation and manage attorney calendars and appointments
- Legal Document Preparation
- Draft legal documents using templates and attorney guidance, including those related to business formations, real estate transactions, estate plans, and probate matters
- File & Workflow Management
- Organize and maintain physical and digital case files
- Track deadlines and coordinate attorney workflow to ensure timely task completion
- Client Communication
- Serve as a point of contact for clients, providing updates and managing inquiries
- Communicate professionally with opposing counsel, court staff, and related parties
- Court Coordination
- File documents (primarily in probate court)
- Manage docketing of court dates, hearings, and related deadlines
- Administrative Support
- Answer phones, assist support staff, and help manage office supplies and client document binder materials
- Perform accurate timekeeping and data entry for billing purposes
Required Qualifications
- High school diploma or equivalent (Associate’s degree or relevant certification preferred)
- 2+ years of experience as a legal secretary or legal administrative assistant in a transactional or estate planning practice
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills, attention to detail, and the ability to prioritize and multitask
- Excellent written and verbal communication skills
- Knowledge of legal terminology and ability to maintain confidentiality
- Ability to work independently and collaboratively
Preferred Skills
- Experience with e-filing procedures for probate courts
- Familiarity with probate and estate administration processes
- Knowledge of Hot Docs or similar legal document automation tools
