The HRIS Generalist is a vital member of the Human Resources team, responsible for supporting and optimizing the company’s Human Resources Information System (HRIS), specifically Paylocity. This position ensures the integrity and accuracy of HR data, configures and maintains system functions, manages reporting requirements, and provides ongoing support to HR team members and employees. The HRIS Generalist also serves as the primary backup for payroll processing, guaranteeing timely and accurate payroll in the absence of the primary payroll specialist.

This role is instrumental in ensuring Paylocity supports all HR operations, including payroll, benefits administration, and employee engagement.

Key Responsibilities Paylocity System Administration
  • Maintain and update employee data within Paylocity, ensuring accuracy and confidentiality.
  • Manage and maintain employee records, organizational structures, and system data within Paylocity.
  • Support system configuration, workflows, and updates (Onboarding, Performance, Time & Labor, Scheduling, Benefits, Community, Learning, etc.).
  • Assist with implementation of new Paylocity features and serve as a point of contact for system support.
  • Maintain and update system documentation, guides, and SOPs.
  • Collaborate with HR Recruiter to ensure efficiency for new hire processing.
Data Integrity, Reporting & Compliance
  • Perform regular audits to ensure data accuracy across HR and payroll-related fields.
  • Build, share and maintain reports, custom fields, dashboards, and scheduled reports in Paylocity’s reporting tools.
  • Support HR and business leaders with data analysis and ad-hoc reporting requests.
  • Maintain and audit all employee I-9 forms, ensuring accuracy, timely completion, and full compliance with federal requirements.
  • Monitor and resolve data discrepancies in collaboration with HR, payroll, and managers.
Payroll Backup Responsibilities
  • Serve as the primary backup for payroll, supporting the preparation and processing of bi-weekly or semi-monthly payroll as needed.
  • Ensure accurate timecard data, earnings, deductions, taxes, and employee changes are captured within Paylocity.
  • Assist with payroll audits, reconciliations, and compliance reporting.
  • Support year-end payroll activities, including W-2 review and corrections.
  • Maintain a strong understanding of payroll workflows and best practices to ensure seamless coverage when the Payroll Manager is unavailable.
Employee & Manager Support
  • Provide frontline support to employees and managers regarding Paylocity navigation, features, and troubleshooting.
  • Assist new hires during onboarding with Paylocity tasks, system setup, and orientation.
  • Deliver training and create resource materials to support user adoption.
Process Improvement
  • Identify opportunities to improve HR processes through automation or enhanced Paylocity features.
  • Recommend workflow updates, improved data structures, or system efficiencies.
  • Participate in cross-functional HR projects involving systems, data, or process redesign.
Compliance & Security
  • Maintain system security roles and permissions within Paylocity.
  • Support compliance with federal, state, and local HR/payroll regulations.
  • Assist with internal and external audits, providing required data and documentation.
  • Oversee annual EEOC reporting and other required compliance filings, leveraging the HRIS to gather data, validate information, and submit reports accurately and on time.
  • Ensure adherence to data privacy and confidentiality standards.
Requirements
  • Bachelor’s degree in HR, Business Administration, Information Systems, or related field
  • 2+ years of HR or HRIS experience.
  • Hands-on experience with Paylocity (system administration, reporting, or module management).
  • Strong understanding of HR processes and basic payroll concepts.
  • Proficiency in Excel (pivot tables, VLOOKUPs, auditing spreadsheets).
  • Strong analytical, problem-solving, and communication skills.
Preferred
  • Experience supporting payroll processing within Paylocity.
